Job Summary:

The General Services Specialist serves as the primary administrative and workplace services representative for the Santa Clara NPI Center. The position is responsible for front desk reception, office administration, employee services, vendor coordination, workplace operations, travel arrangements, meeting support, and general site services to ensure an efficient, professional, and well-organized working environment.

Duties and Responsibilities:

  • Provide front desk reception and administrative support, including greeting visitors, answering phone calls, handling incoming/outgoing mail and packages, managing visitor registration, and supporting meeting room reservations.
  • Manage daily office operations, including office supplies, pantry, coffee room, washroom supplies, office equipment, stationery, and workplace services.
  • Coordinate employee administrative services, including travel arrangements, hotel reservations, transportation, new hire onboarding logistics, badge requests, and employee support activities.
  • Manage service vendors for office cleaning, pantry services, vending machines, office equipment, landscaping, pest control, and other administrative service contracts.
  • Organize company meetings, employee events, training sessions, customer visits, and executive meetings, including conference room scheduling and event logistics.
  • Ensure compliance with company administrative policies, workplace standards, and document management procedures.
  • Process administrative invoices, maintain records, monitor budgets, and ensure compliance with company administrative procedures.
  • Perform other administrative and site operational support duties as assigned.

Education:

  • Bachelor's degree in Business Administration, Management, Hospitality Management, or a related field.

Experience:

  • Minimum 3 years of experience in General Services, Office Administration, Executive Administration, Reception, or Administrative Operations.
  • Experience supporting manufacturing sites, NPI Centers, or EMS/electronics manufacturing is preferred.
  • Strong communication, customer service, organization, and multitasking skills.
  • Experience coordinating vendors, travel arrangements, meetings, and office operations.
  • Proficiency in Microsoft Office applications; SAP experience is preferred.
