About the Role:
The Temporary Mailing Specialist plays a critical role in supporting the communication and operational efficiency of a HOA organization. This position is responsible for managing the preparation, sorting, and distribution of outgoing and incoming mail, ensuring timely and accurate delivery of important documents and correspondence. The role requires meticulous attention to detail to maintain accurate mailing records and to handle sensitive information with confidentiality. The Temporary Mailing Specialist collaborates closely with various departments to coordinate mailing schedules and resolve any mailing issues that arise. Ultimately, this position ensures that all mailing operations run smoothly, supporting the overall business functions and client communications within the organization.
This position is temporary lasting up to 6 months. The schedule is Monday-Friday 20-25 hours per week.
Minimum Qualifications:
- High school diploma or equivalent.
- Previous experience in a mailing, shipping, or administrative support role.
- Basic knowledge of postal regulations and mailing procedures.
- Ability to operate standard mailing equipment and office machinery.
- Strong organizational skills and attention to detail.

Responsibilities:
- Prepare, sort, and distribute incoming and outgoing mail and packages efficiently and accurately.
- Maintain detailed records of all mail transactions and ensure compliance with company policies and postal regulations.
- Coordinate with internal departments to schedule and prioritize mailings according to business needs.
- Operate mailing equipment such as postage meters, folding machines, and sorting systems.
- Handle confidential and sensitive information with discretion and maintain security protocols.
- Assist in inventory management of mailing supplies and request replenishments as needed.
- Troubleshoot and resolve mailing issues, including addressing errors or delays with postal services.
