This is a leadership-focused lease administration role overseeing complex commercial real estate portfolios and high-value client accounts.
You will manage lease administration teams while serving as a senior point of contact for clients, brokers, landlords, and internal stakeholders.
The role combines people leadership, lease analysis, financial oversight, client governance, reporting, and operational excellence.
You will oversee large and multi-line portfolios, including global accounts with 1,000+ leases, ensuring accurate data, timely deliverables, and strong service quality.
Your expertise will help clients manage critical lease obligations, payments, recoveries, renewals, and portfolio risks effectively.
The position is remote within Ontario and requires strong independent working skills, collaboration across global teams, and confident client communication.

- Lead and manage Lease Administration resources, including team allocation, workload planning, hiring-related activities, mentoring, training, and performance support.
- Serve as the managing lease analyst for major accounts while overseeing Lease Analysts supporting multiple small and medium-sized portfolios.
- Act as a primary point of contact for clients, brokers, account managers, landlords, and internal stakeholders on lease administration matters.
- Oversee lease abstraction, translation, data entry, quality control, and maintenance processes in accordance with client-specific standards.
- Review and interpret complex commercial lease language, ensuring rental obligations, critical dates, options, recoveries, and other key lease information are accurately captured.
- Provide final quality control over lease data and database records, identifying and resolving errors, inconsistencies, and data integrity issues.
- Create, edit, and run reports, dashboards, and portfolio analyses using lease administration and real estate database platforms.
- Oversee rental payment schedules and review Rent, CAM, Operating Expense, Tax, and Insurance charges for accuracy and compliance with lease terms.
- Review recovery clauses, establish recovery pools, calculate tenant recovery expenses, and assess caps, base years, and non-standard exclusions.
- Validate Consumer Price Index adjustments and other contractual changes affecting lease obligations.
- Reconcile outstanding balances and work with landlords and clients to investigate and resolve payment or account disputes.
- Maintain account processes, procedures, playbooks, client agreements, scope information, fee structures, billing details, and related operational documentation.
- Lead client governance programs, including reporting schedules, communication cadences, business reviews, portfolio updates, and performance discussions.
- Manage client escalations, proactively identify account risks, develop mitigation strategies, and oversee issues through resolution.
- Coordinate global team delivery to ensure services align with client-specific processes, contractual requirements, quality standards, and timelines.
- Establish regular internal communication with global account teams to review workloads, outstanding issues, priorities, and required actions.
- Support client transitions, account setup, new business presentations, and other strategic initiatives as required.
- Prepare and deliver professional presentations and portfolio reporting to clients and senior stakeholders.
- Identify opportunities to improve processes, adopt technology, and enhance service delivery, including remaining open to the evolving use of AI and automation in lease administration.
- Bachelor's degree in Business, Accounting, Real Estate, or a related discipline is preferred.
- At least 7 years of relevant experience in commercial real estate lease administration, accounting, property management, or related landlord/tenant environments.
- Proven experience managing complex, multi-line global accounts, ideally involving portfolios of 1,000+ leases.
- Intermediate to expert-level experience with commercial real estate and lease administration platforms such as CoStar, Yardi, Apex, ProLease, Virtual Lease, or comparable systems.
- Strong understanding of commercial lease structures, rental obligations, recoveries, critical dates, payment requirements, and contractual provisions.
- Thorough knowledge of FASB/IFRS accounting principles and general accounting practices is preferred.
- Strong analytical and financial skills, with the ability to reconcile accounts, review charges, interpret lease language, and identify discrepancies.
- Intermediate proficiency with Microsoft Office applications, particularly Excel, Word, PowerPoint, and OneNote.
- Demonstrated experience leading teams, delegating work, mentoring professionals, and maintaining high service standards.
- Strong client relationship management and communication skills, with the ability to engage confidently with internal and external stakeholders.
- Excellent organizational and time-management skills, with the ability to manage multiple accounts, priorities, deadlines, and escalations simultaneously.
- Proven ability to work independently in a remote environment while collaborating effectively with global teams across different locations and time zones.
- Strong problem-solving, decision-making, and risk-management capabilities.
- Professional presence, strong presentation skills, and the ability to communicate complex information clearly and effectively.

- Candidates must be currently authorized to work full-time in Canada.

- Approximate annual salary range of CAD $87,862–$99,300, with individual compensation determined by location, skills, experience, education, and other relevant factors.
