About the role
Kings River Packing is seeking a Logistics Administrative Specialist to support the logistics department by managing administrative and operational tasks related to transportation coordination. This role reviews and reconciles transportation-related transactions in collaboration with Finance, assists with various logistics functions, and works closely with Sales and Allocation teams to support operational changes and ensure efficient, accurate transportation processes.
What you'll do
- Process and verify carrier invoices, ensuring rates and charges align with shipment records
- Work with carriers and internal teams to resolve discrepancies in freight charges
- Communicate billing adjustments or deductions internally and externally as needed
- Review, verify, and document delivery shortages and overages with internal and external partners to ensure accurate claims, chargebacks, and invoicing
- Review additional transportation charges, including detention and layover fees, against system data to determine cost responsibility and ensure proper allocation
- Assist with dispatch operations, including answering calls, coordinating transfer order moves, and updating carriers on loading locations as needed
- Maintain accurate transportation cost records in ERP
- Establish and maintain positive working relationships with departments, sheds, and vendors
- Maintain an organized electronic filing system for transportation documentation
- Prepare, edit, and distribute correspondence, reports, and presentations as needed
- Prioritize and manage multiple tasks to meet deadlines in a fast-paced, multi-entity, and multi-cultural environment
- Communicate clearly, professionally, and proactively with internal and external stakeholders
- Perform additional duties and special projects as assigned
What We're Looking For
- High school diploma or GED required
- 1–3 years of relevant experience in transportation, logistics, or administrative support
- Working knowledge of DOT and FMC regulations strongly preferred
- Proficiency in Microsoft Excel required
- Strong organizational and data entry skills with high attention to detail
- Excellent analytical, written, and verbal communication skills
Physical Demands & Abilities
- Ability to sit and work at a computer for extended periods of time
- Ability to occasionally lift up to 10 lbs.
- Regular onsite work schedule is Monday through Friday, with flexibility to adjust as business needs require
