Department Overview

The Education Supervisor is responsible for managing and supporting the residency and fellowship programs while monitoring ongoing educational projects within the Department of Otolaryngology – HNS. This position serves as a liaison between the Department and numerous internal and external entities. This position will ensure that compliance requirements are met, adheres to program guidelines, and develops and monitors special topic programs. The Education Supervisor will be responsible for the Residency Org and budget. This position will also develop, implement, and assist with faculty development projects and initiatives. This position is responsible for identifying, implementing, managing, and monitoring all projects and programs related to educational activities within the department.

The appointee shall provide services as assigned by the supervisor in furtherance of the university's missions and goals of teaching, research, patient care, outreach and public service.

Function/Duties of Position

Management

  • Is responsible for all of the department’s education and training programs.
  • Manage the residency program and ensure ACGME compliance.
  • Responsible for the Residency Org/Budget, which is around $200,000
  • Manage the residency program application and recruitment process by collecting and reviewing applications with faculty from ERAS. Manage all activities related to MATCH.
  • Ensure all educational program requirements are being met and records are being kept and shared as appropriate.
  • Manage and develop orientation documents.
  • Work with Residency Program Director and division chiefs to problem solve administrative gaps and optimize program efficiency for all educational activities.
  • Manage the fellowship program and ensure program compliance. This includes up to 6 different fellowship programs – sinus, facial plastics, head and neck, microvascular, laryngology, and peds.
  • Streamline and optimize all recruitment processes.
  • Interface and represent the department with the GME office. Attend regular meetings, disseminate information as appropriate, schedule orientations, maintain files, manage case logs and duty hours, enter data into MedHub as appropriate.
  • Continue to pursue equity hiring initiatives within the residency program and department.
  • Coordinate outreach efforts to pre-med, and medical students to promote the field of otolaryngology as a career option.
  • Liaise with other higher education institutions within the region around outreach efforts, training offerings, career fairs, etc.
  • Support/spearhead curriculum (re)development.

Project Management

  • Reviews project assignment to determine scope and diversity of involvement, training and resources needed, necessary contacts and required procedural administrative actions; reviews existing methods and procedures, and modifies as necessary to accomplish assignment; identifies potential difficulties and determines means of lessening or avoiding them.
  • Projects to include:
    • Residency mindfulness program
    • Promoting diversity initiatives
    • Promoting faculty development initiatives
    • Develop and monitor onboarding processes for learners and faculty
    • Educational course support and CME application/tracking
    • Develop wellness curriculum for learners and faculty
    • Annual resident orientation and resident interview coordination
    • Optimize and maintain call schedule
    • Optimize and update department web pages
    • Maintain and manage files related to residency and fellowship programs
    • Identify educational opportunities for faculty, residents, and fellows
    • Other educational projects as assigned/needed

Misc.

  • General projects related to residency and fellowship programs. Represent OHSU/the department in meetings such as the SUO yearly meeting, Communicate with all involved groups concerning educational projects, and help build consensus and buy in. Develop and update outward facing department web pages. Other tasks as assigned.

Required Qualifications
  • Relevant Bachelor's degree and three (3) years of related experience

  • Demonstrate advanced proficiency and versatility within Microsoft Word, Microsoft Excel, PowerPoint, Publisher, Quickbooks, Sycle and commonspot software programs as well as Email programs and protocol.

  • Experience designing and preparing newsletters, advertisements and brochures.

  • Must demonstrate proficiency with EPIC scheduling and template maintenance.

  • Proven experience coordinating and managing large events.

  • Must demonstrate knowledge of proper grammar, punctuation and spelling; medical terminology; transcription; word processing and data management.

  • Must maintain a highly professional appearance and exhibit professional behavior at all times, both in person, over the phone and through electronic communications.

  • Must demonstrate: excellent organizational skills; the ability to prioritize, multi-task and make independent judgments and decisions.

  • Exceptional interpersonal skills-able to resolve conflicts and problem solve between parties.

  • Demonstrates active listening skills and supportive, professional behavior.

  • Demonstrated evidence of strong written and verbal communication skills.

  • Ability to work accurately and without constant supervision

  • Ability to perform the job duties with or without accommodation.

Preferred Qualifications
  • Two years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review. One of the required years must have included administration or oversight of an on-going project or program;
  • 2+ years’ experience in PAS role with front desk, phone and clinic scheduling experience; Executive administration experience; Preferably in an academic surgical Department setting.
  • CME, Residency program coordination, and Fellowship program experience.

  • Knowledge of ACGME requirements and evaluation criteria and process.

  • Previous experience using MedHub.

  • Familiarity with ACGME guidelines.

  • Experience with ERAS and MATCH.

  • Experience with educational curriculum design and management.


Additional Details

1.0FTE; Will travel between three locations – CHH, SJH, and PPV, mainly remote. Monday - Friday; Flex schedule, some weekend and evening work required.
