Naples Heritage Golf & Country Club (NHGCC) is seeking a highly organized, service-minded Food & Beverage Administrative Assistant to support the daily operation of our Food & Beverage and Catering & Events departments. NHGCC is an active private country club community of 799 residences with an 18-hole Audubon Certified golf course, fitness center, tennis, bocce, dining venues and a robust social and event calendar.
Position Summary
The Food & Beverage Administrative Assistant is the administrative and operational hub of the department, helping keep dining operations, reservations, events, communications and department projects organized and moving forward. Working closely with the Director of Food & Beverage and Catering & Events Manager, this role supports both day-to-day execution and the details that make a busy private club operation successful.
The ideal candidate is proactive, polished, comfortable with technology, and able to manage multiple priorities while providing the warm, responsive service expected in a member-focused environment.

Essential Duties & Responsibilities
Provide daily administrative and operational support to the Director of Food & Beverage and Catering & Events Manager.
Serve as a primary point of contact for members regarding dining reservations, events and general Food & Beverage questions.
Manage, verify and assist with dining and event reservations; prepare reservation, seating and check-in information for restaurant operations.
Assist with the preparation and organization of event details, menus, signage, guest lists, function materials and other operational documents.
Maintain department calendars and help communicate upcoming dining programs, events, operational changes and important information.
Assist with member communications, including email messaging, website updates, event information and club communication platforms.
Prepare professional documents, reports, spreadsheets, correspondence and operational materials as needed.
Maintain accurate departmental records, files and electronic documentation.
Coordinate information between Food & Beverage, Culinary, Catering & Events and other club departments.
Assist with special events and major club functions before, during and following events as needed.
Support seasonal opening preparations, staff training materials and other departmental initiatives.
Assist members with basic technology questions related to club systems, reservations, website access and communications.
Help maintain clubhouse signage and member-facing informational materials.
Provide occasional front desk or administrative coverage when necessary.
Assist with special projects and additional departmental responsibilities as assigned.
Qualifications
Minimum 2 years of administrative, hospitality or related professional experience preferred.
Private club, restaurant, hotel, catering or event experience strongly preferred.
Excellent written and verbal communication skills.
Strong computer skills, including Microsoft Office and/or Google Workspace.
Experience with reservation, point-of-sale, event management or club management software is a plus.
Excellent organizational, proofreading and recordkeeping skills.
Ability to handle confidential or sensitive information appropriately.
Schedule & Work Environment
This is a full-time, year-round position. The schedule is primarily administrative in nature; however, flexibility is required during busy periods, major club events and season, including occasional evenings, weekends and holidays. The role includes extended periods working at a computer as well as moving throughout the clubhouse and event areas. Must be able to lift up to 15 pounds at times.
