Position Summary
The ACE Initiative Site Administrator helps bring EduCare Foundation’s mission to life by coordinating comprehensive, year-round student-support services at an assigned middle school or high school.
The ACE Initiative—Achievement and Commitment to Excellence—integrates social-emotional learning, academic support, college and career access, parent engagement, professional development, and school-community partnerships to help students succeed in school and prepare for life beyond graduation.
Working closely with the Program Director, school administrators, counselors, teachers, EduCare employees, families, and community partners, the Site Administrator develops and coordinates services responsive to the needs of the school community. The position supports students in strengthening self-awareness, self-management, social awareness, relationship skills, and responsible decision-making.
The Site Administrator also coordinates college-access activities, monitors program outcomes, maintains grant compliance, analyzes student and program data, connects students with appropriate resources, and may supervise in-class or after-school tutors when those services are included in the school’s program.

What You’ll Do
In this role, you will coordinate student services, social-emotional learning, college access, school partnerships, grant compliance, data collection, and program quality. Your primary responsibilities will include:
ACE Initiative Program Administration
- Develop, coordinate, implement, and evaluate ACE Initiative services at the assigned school site.
- Work with the Program Director and school leadership to identify student and school-community needs, establish program priorities, and develop implementation plans.
- Coordinate a comprehensive combination of social-emotional learning, academic support, college access, parent engagement, professional development, and student-support services.
- Establish annual, semester, monthly, and weekly implementation plans aligned with ACE Initiative goals and school-site priorities.
- Monitor program progress, identify challenges, recommend adjustments, and support continuous improvement.
- Maintain knowledge of EduCare’s expanded-learning and student-support services and encourage eligible students to participate.
- Represent EduCare Foundation professionally within the school community, including with students, families, faculty, administrators, staff, and community partners.
- Attend required EduCare, ACE Initiative, school-site, professional-development, and program-related meetings.
Social-Emotional Learning and Student Support
- Develop and facilitate age-appropriate social-emotional learning activities, advisory lessons, and student-development programs.
- Incorporate self-awareness, self-management, social awareness, relationship skills, and responsible decision-making into program services.
- Develop lessons and activities addressing communication, healthy relationships, conflict resolution, goal setting, personal safety, responsible decision-making, and student well-being.
- Build positive and supportive relationships with students and create an environment where young people feel seen, heard, valued, and encouraged.
- Help students identify challenges, establish goals, strengthen skills, and connect with appropriate school or community resources.
- Recognize when a student concern requires support beyond the scope of the position and promptly refer the matter to an appropriate counselor, administrator, mandated reporter, or other designated professional.
- Maintain appropriate professional boundaries and protect confidential student and family information.
College and Career Access
- Develop and facilitate ACE Advisory, college-access, career-awareness, and postsecondary-planning lessons for applicable grade levels.
- Help students understand graduation, A–G, college, career, financial-aid, and postsecondary-planning requirements and opportunities.
- Support students in developing academic, college, career, and postsecondary goals.
- Monitor student progress through applicable college-research, application, financial-aid, and enrollment milestones.
- Collaborate with school counselors and authorized school personnel to help students access accurate academic and postsecondary information.
- Use available student data, within the scope of the position and school authorization, to support appropriate student programming and referrals.
- Connect students and families with college-access events, workshops, resources, and other educational opportunities.
Programs, Workshops, and Family Engagement
- Plan and coordinate ACE Programs, ACE Workshops, ACE HeartBeats, professional-development workshops, parent workshops, and other assigned services.
- Collaborate with school administrators, school employees, families, community partners, and EduCare’s ACE Programs team to coordinate logistics and program delivery.
- Develop implementation plans, schedules, materials, communications, and follow-up activities for workshops and events.
- Support parent and family engagement by providing relevant information, resources, and opportunities to participate.
- Help ensure that programs and workshops are welcoming, organized, accessible, and responsive to the school community.
- Collect participant feedback and use it to strengthen future services.
School and Community Partnerships
- Develop collaborative working relationships with school administrators, counselors, teachers, support staff, and other school-site personnel.
- Coordinate ACE Initiative services with the school’s academic, student-support, and community-engagement priorities.
- Communicate program progress, needs, successes, and concerns to appropriate school and EduCare personnel.
- Identify community organizations and service providers that may offer relevant resources, programs, or support.
- Coordinate approved partnerships and referrals in collaboration with school leadership and the Program Director.
- Help students and families identify and access appropriate school, district, and community resources.
- Maintain clear boundaries regarding EduCare’s role and follow all applicable approval, confidentiality, and referral procedures.
Grant Compliance and Program Outcomes
- Understand and implement applicable grant goals, objectives, service commitments, deliverables, and documentation requirements.
- Monitor progress toward required participation, service, and outcome goals.
- Maintain accurate records demonstrating program implementation and grant compliance.
- Identify potential compliance concerns or missed deliverables and promptly notify the Program Director.
- Support required grant reports, evaluations, audits, monitoring visits, and other compliance activities.
- Use program and participant data to assess effectiveness and recommend improvements.
- Protect confidential information and follow all applicable data-security and record-retention procedures.
Records Maintenance and Data Collection
- Collect, review, enter, organize, analyze, and maintain data related to student attendance, behavior, achievement, participation, and program outcomes.
- Collect daily attendance records for ACE Initiative programs, tutoring, workshops, and activities.
- Distribute, collect, review, and maintain student registration forms.
- Maintain detailed notes regarding program activities, successes, challenges, student needs, and follow-up actions.
- Prepare and submit accurate weekly and monthly reports, program-outcome data, grant documentation, and other required information.
- Distribute, collect, and analyze social-emotional learning surveys completed by students, families, teachers, or other participants.
- Communicate relevant assessment and program information to authorized students, families, school personnel, and EduCare leadership.
- Prepare and submit administrative and program reports to ACE Initiative management by established deadlines.
- Review records for completeness and promptly resolve or report discrepancies.
- Use data to identify participation trends, service gaps, student needs, and opportunities for program improvement.
Tutor and Service Coordination
- Coordinate in-class or after-school tutoring services when those services are included in the school’s ACE Initiative program.
- Help establish tutor schedules, assignments, expectations, attendance procedures, and documentation requirements.
- Provide tutors with day-to-day direction, resources, feedback, and support.
- Monitor tutoring implementation, student participation, documentation, and alignment with program expectations.
- Communicate tutor-performance, conduct, attendance, safety, or compliance concerns to the Program Director and Human Resources when appropriate.
- Coordinate with teachers and authorized school personnel to help ensure tutoring services respond to student needs.
- Maintain appropriate documentation regarding tutor assignments, participation, and program outcomes.
Supervisory Responsibilities
This position may directly supervise in-class or after-school tutors when tutoring services are included in the school’s ACE Initiative program.
Supervisory responsibilities may include coordinating assignments and schedules, providing training and day-to-day direction, monitoring attendance and performance, giving feedback, reviewing required documentation, and promptly addressing or escalating concerns.
Formal employment actions, including hiring, compensation, corrective action, and termination, must be completed in coordination with the Program Director and Human Resources and in accordance with EduCare policies.

Required Qualifications
Education
- Bachelor’s degree from an accredited college or university.
- A degree in education, counseling, psychology, social work, human services, child development, sociology, public administration, or a related field is preferred.
Experience
- At least two years of experience working in a middle school or high school setting.
- At least two years of experience supervising, leading, training, or providing formal work direction to employees, tutors, interns, or program staff.
- Experience developing, coordinating, or implementing student-support, social-emotional learning, academic-support, college-access, family-engagement, or youth-development programs.
- Experience working with students and families from diverse cultural, linguistic, educational, and socioeconomic backgrounds.
- Experience collecting, maintaining, analyzing, and reporting program or student data.
- Experience supporting grant-funded programs, deliverables, reporting, or compliance is strongly preferred.
- Experience collaborating with school administrators, counselors, teachers, families, and community organizations is strongly preferred.
- Experience facilitating lessons, workshops, presentations, or group activities is preferred.

Schedule Requirements

- Regular and punctual attendance is an essential requirement of the position.
Travel and Work-Location Requirements
- This position is primarily assigned to a designated school site in Los Angeles County.
- Must be willing and able to travel to other school sites, EduCare facilities, community-partner locations, colleges, workshops, events, training sessions, and meetings when required.
- The assigned location may change based on school contracts, grant requirements, enrollment, staffing, funding, or other operational considerations.
- Reliable transportation is required when travel between assigned work locations is necessary.

Work Environment
This position primarily works at school sites in offices, classrooms, meeting rooms, multipurpose spaces, and other educational environments. The employee may occasionally work outdoors or at community, college, or event locations. The noise level and working conditions may vary depending on student activities, school events, workshops, and the assigned location.
Pre-Employment and Continuing Requirements
Before beginning employment, the selected candidate must:
- Successfully complete a Live Scan background check.
- Provide proof of a negative tuberculosis test dated within 60 days before the hire date.
- Meet all applicable school-district, grant, and program clearance requirements.
Following hire, the employee must:
- Obtain and maintain CPR and First Aid certification within the timeframe established by EduCare.
- Complete annual Risk Management Training.
- Complete all assigned organizational, supervisory, student-safety, data-security, and compliance training, including harassment-prevention training.
- Complete any training required to facilitate ACE Initiative, social-emotional learning, college-access, or student-support programming.
- Maintain all certifications, clearances, and training requirements associated with the position.
