The Chesapeake Bay Foundation seeks two temporary staff members to support donor relations and gift processing functions during a high-volume period. These positions are based in Annapolis, MD at the Philip Merrill Environmental Center.

THE CHESAPEAKE BAY FOUNDATION

Established in 1966, the Chesapeake Bay Foundation (CBF) is the largest regional nonprofit conservation organization dedicated to saving the Chesapeake Bay, its rivers and streams, and the wildlife that call it home. Through our education, advocacy, litigation, and restoration efforts, we work together toward our vision of a healthy and resilient Chesapeake Bay ecosystem where people, plants, and animals thrive together.

CBF has a staff of approximately 200 employees working in offices in Annapolis, Maryland; Richmond and Virginia Beach, Virginia; Harrisburg, Pennsylvania; and Washington, D.C. as well as 15 field education program locations. Our staff and volunteer corps work throughout the region educating students and adults, advocating for clean water policies, restoring waterways, and litigating when necessary.

CBF’s headquarters office in Annapolis, Maryland is the Philip Merrill Environmental Center, the world’s first U.S. Green Build Council’s LEED platinum building. In 2014, CBF opened the Brock Environmental Center—one of the world’s most energy efficient, environmentally smart buildings—in Virginia Beach, Virginia.

DEPARTMENT DESCRIPTION

Philanthropy

The mission of the Philanthropy team is to provide financial resources for CBF to meet its long-term vision of saving the Bay. The team establishes and implements strategies to motivate donors to contribute to the organization's programs and projects.

CONTEXT OF THE POSITION

The Temporary Philanthropy Assistant is an essential team member of the Philanthropy department during the heaviest giving season. The assistant plays a key role in donor relations and data integrity.

Work Schedule:

November 9 –January 15 (excluding holidays)

Monday – Friday

9am – 5pm

*Remote or hybrid work arrangements are not available.

ESSENTIAL FUNCTIONS

Provide excellent donor service:

  • Serve as a primary point of contact for CBF donors by answering incoming calls, processing donations, and assisting with account updates, questions, and concerns.
  • Retrieve, document, and respond to donor voicemail messages, or route inquires to appropriate CBF staff for timely follow-up.
  • Maintain accurate donor records by updating contact information, communication preferences, titles, and other data received through phone, email, mail, and other channels.

Provide administrative and operational support to the Gift Processing, Stewardship, and Member Relations teams:

  • Assemble and mail donor correspondence and acknowledgments.
  • Maintain electronic records by scanning and filing gift documentation and acknowledgments. Copy, organize, and file supporting documents.
  • Assist with additional projects and tasks to support efficient gift entry and acknowledgment operations.
Requirements:
  • Prior experience in customer service or member/donor relations
  • Ability to maintain confidentiality
  • Excellent verbal and written communication skills
  • Organized, detail-oriented, and resourceful
  • Excellent proofreading skills
  • Computer skills, proficiency in Microsoft Word and Excel and experience with data entry
  • Proficiency in use of standard office equipment (phone, computer, copier/printer, scanner)
