Job Description
Fireman Excavating is seeking an experienced Contract Fleet Title & Registration Clerk to organize and complete a backlog of vehicle title transfers, registrations, and related documentation for our company fleet.
This is initially a short-term project position focused on getting a significant number of trucks and company vehicles properly titled and registered. Once the backlog is completed, we would like to maintain a relationship with the contractor for occasional title, registration, renewal, and fleet paperwork as vehicles are purchased, sold, or added to the company.
We are looking for someone who already understands the Texas title and registration process and can take ownership of the project with minimal supervision.
Requirements: Responsibilities- Review our existing vehicle titles and registration paperwork and determine what is needed for each vehicle.
- Process vehicle title transfers into the company's name.
- Complete Texas title and registration applications and supporting documents.
- Handle registration of trucks and other company vehicles.
- Identify missing signatures, incorrect assignments, liens, releases, bills of sale, or other documentation issues.
- Research and resolve title problems, including older or incomplete transactions.
- Coordinate with Texas county tax offices, TxDMV, sellers, lienholders, and other parties when necessary.
- Prepare paperwork before visiting title or registration offices to minimize rejected transactions and repeat trips.
- Track the status of every vehicle from initial review through completed title and registration.
- Maintain copies of titles, registration receipts, applications, and supporting documentation.
- Organize completed vehicle records so the company has a clean file for each unit.
- Track registration expiration dates and identify upcoming renewals.
- Assist with replacement titles, corrected titles, duplicate registration documents, and similar issues when needed.
- Handle occasional future title and registration work as the company buys, sells, or replaces fleet vehicles.
The immediate priority will be reviewing and processing a backlog of approximately 30–50 company vehicles, primarily trucks and commercial vehicles.
Some files may be straightforward title transfers, while others may require additional research or documentation before they can be completed.
The contractor will be expected to create a simple tracking system showing:
- Vehicle/unit
- VIN
- Current title status
- Registration status
- Documents received
- Documents missing
- Action required
- Fees paid
- Date submitted
- Date completed
- Title received
- Registration expiration date
- Notes/issues requiring follow-up
Strongly preferred:
- Previous experience as an automotive title clerk, dealership title clerk, fleet administrator, registration specialist, or similar position.
- Hands-on experience with Texas vehicle titles and registrations.
- Familiarity with Texas county tax offices and TxDMV procedures.
- Experience resolving title discrepancies and incomplete paperwork.
- Experience with commercial trucks or business fleets is a plus.
- Excellent organizational skills and attention to detail.
- Ability to manage numerous vehicles simultaneously without losing track of outstanding items.
- Comfortable communicating directly with government offices, dealerships, sellers, lienholders, and company management.
- Able to work independently and provide clear status updates.
This is not an entry-level training position. We are specifically looking for someone who already knows title and registration work and can come in, evaluate what we have, tell us what is missing, and get the vehicles processed correctly.
Accuracy is extremely important. We would rather have someone who takes the time to get each transaction correct than someone who rushes paperwork through and creates additional problems.
Contract StructureThis position will begin as a temporary contract project to clear the company's existing title and registration backlog.
After the initial project is completed, there will be an opportunity for occasional ongoing contract work to handle:
- New vehicle purchases
- Title transfers
- Registration renewals
- Vehicles being sold or disposed of
- Replacement or corrected titles
- Registration issues
- General fleet documentation
The ongoing workload will be limited and performed as needed rather than as a regular full-time position.
CompensationCompensation is negotiable based on experience and may be structured as an hourly contract rate or project-based rate.
