About the Role
The Administrative Project Manager oversees the planning, coordination, and execution of administrative projects, business operations, and organizational initiatives in a fast-paced federal environment. This role manages project schedules, resources, deliverables, dependencies, risks, documentation, reporting, and stakeholder communications to keep teams aligned and work on schedule. Working closely with leadership, cross-functional teams, clients, and internal and external stakeholders, the Administrative Project Manager resolves operational challenges, maintains accurate project records, supports informed decision-making, and ensures work is completed efficiently and in alignment with client requirements and organizational objectives.

How You Contribute to the Team:
Project Management
  • Plan, coordinate, and oversee the execution of multiple concurrent administrative projects, operational initiatives, and workstreams to ensure alignment with project objectives and organizational priorities.
  • Develop and maintain project schedules, milestone plans, task trackers, dependency logs, action-item trackers, and deliverable calendars that provide visibility into project status.
  • Coordinate cross-functional teams, resources, workloads, and competing priorities to support timely and efficient project execution.
  • Track project activities and deliverables from initiation through review, approval, completion, and closeout.
  • Identify project risks, resource conflicts, dependencies, and potential bottlenecks; recommend mitigation strategies, escalate issues appropriately, and monitor corrective actions through resolution.
  • Prepare recurring and ad hoc project reports summarizing progress, accomplishments, upcoming activities, decisions, risks, and outstanding actions.
  • Facilitate project meetings, document decisions and action items, and follow up with responsible parties to support timely completion.
Administrative & Operational Management
  • Coordinate leadership and project schedules, meetings, logistics, and competing priorities in support of project and operational requirements.
  • Coordinate meetings from planning through follow-up, including scheduling, logistics, agendas, briefing materials, meeting notes, decisions, action items, and associated records.
  • Prepare, edit, format, route, track, and maintain correspondence, reports, presentations, memoranda, briefing materials, and other official business documents.
  • Manage document workflows and maintain organized electronic files, repositories, databases, trackers, project records, and document libraries.
  • Coordinate travel, training, and related administrative logistics, including scheduling, approvals, and supporting documentation.
  • Maintain templates, contact databases, distribution lists, administrative trackers, and other project and operational resources.
  • Serve as a liaison among leadership, project teams, clients, contractors, and internal and external stakeholders, ensuring timely communication, coordination, follow-up, and resolution of outstanding matters.
Quality & Document Control
  • Perform quality-control reviews of administrative and project documents and deliverables to ensure accuracy, completeness, consistency, traceability, and professional formatting before distribution or submission.
  • Maintain version-control and document-management protocols to ensure current approved materials are clearly identifiable and prior versions are appropriately archived.
  • Verify meeting notes, schedules, correspondence, trackers, reports, and other controlled records against available source information, as appropriate.
  • Support adherence to applicable organizational and client policies, approval requirements, branding and style standards, federal plain-language principles, and Section 508 accessibility requirements.
  • Maintain confidentiality and exercise appropriate judgment and discretion when handling sensitive, proprietary, or official information.
  • Develop, document, implement, and continuously improve standard operating procedures, templates, checklists, workflows, project-management tools, and administrative processes.
  • Perform other related project-management, administrative, and operational duties as assigned.

Educational Requirements:
  • Bachelor’s degree in Business Administration, Public Administration, Project Management, Management, Communications, or a related field preferred.
  • An equivalent combination of relevant education, training, certification, and professional experience will be considered in lieu of a Bachelor’s degree.
Experience Requirements:
  • 5+ years of progressively responsible experience in project management, program coordination, business operations, or administrative management.
  • Experience managing multiple concurrent projects or workstreams, including schedules, milestones, dependencies, deliverables, risks, resources, and action items.
  • Experience coordinating cross-functional teams, leadership, clients, contractors, and internal and external stakeholders in a fast-paced professional environment.
  • Experience preparing project plans, meeting materials, action trackers, status reports, executive briefings, presentations, correspondence, and other professional business documents.
  • Experience managing document workflows, electronic repositories, version-controlled records, databases, project trackers, and standardized administrative processes.
  • Experience coordinating meetings, travel, training, and other project or operational logistics.
  • Federal government, federal government-contractor, public-sector, or similarly regulated professional experience preferred.
Skills and Expertise:
  • Strong knowledge of project-management principles, business operations, administrative management, and process-improvement practices.
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint, as well as project-management, task-tracking, or comparable collaboration platforms.
  • Strong organizational and time-management skills, with the ability to manage multiple projects, competing priorities, resources, and deadlines.
  • Strong analytical and problem-solving skills, with the ability to identify risks, evaluate operational issues, and recommend practical solutions.
  • Strong spoken and written communication skills, including professional writing, editing, proofreading, formatting, and preparing leadership-ready materials.
  • Ability to synthesize project status and operational information into concise, decision-ready reports and presentations.
  • Knowledge of document control, version management, records management, administrative workflows, and quality-control practices.
  • Ability to establish collaborative working relationships and coordinate effectively across leadership, cross-functional teams, clients, and external stakeholders.
  • Ability to develop, document, implement, and improve project-management tools, standard operating procedures, workflows, and administrative processes.
  • Ability to maintain confidentiality and exercise sound judgment and discretion when handling sensitive, proprietary, or official information.
  • Familiarity with Section 508 accessibility requirements, federal plain-language principles, and federal document standards preferred.
There are multiple factors considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align with the specified role, geographic location, education as well as contract provisions regarding labor categories that are specific to the position.

BCT & N-Touch each offer competitive total compensation packages that, for this position, include base salaries between $90,000 and $100,000 along with generous benefits packages. Both BCT & N-Touch’s benefits include partially subsidized medical, dental and vision coverage, a 401k plan with company match, company paid life and disability insurance plans, paid family leave, and a generous paid time off policy.

The worksite requirements for these roles have not yet been finalized. We will accept applications for remote work from those working in any of the fifty United State or Washington, DC. Those seeking hybrid or on-site work must live within commuting distance of Washington, DC. Though BCT & N-Touch each have staff in multiple time zones, their headquarters locations are on the East Coast; BCT in New Jersey, and N-Touch in Connecticut.
