Summary

This position is responsible for the daily administration of four payrolls across multiple U.S. states and international locations, payroll and HR reporting, employee benefit enrollments and billing, and related reconciliations. This position will maintain accurate payroll and HR records, prepare reports for management, and support compliance and reporting requirements. The Payroll & HR Administrator will work collaboratively with internal partners, including Accounting, to ensure accurate and timely processing, reconciliation, and reporting. This position will serve as a backup for various HR functions including performance reviews, recruitment, and onboarding.

This job operates in our San Antonio office. This position travels up to 25% of the time, including to the SCI annual convention, site visits, Board Meetings, and any other trade shows or events of interest to or supported by Sporting Conservation International.

All applicants should demonstrate an understanding of, and commitment to, hunting as an essential part of biologically sound and ethically responsible international wildlife management. The ideal candidate will have an existing knowledge of SCI’s current programs and mission and be passionate about hunter’s rights.

Responsibilities

Payroll Functions:

  • Administer all aspects of payroll processes utilizing ADP Workforce Now. Ensure payroll taxes and other mandatory programs are properly filed and/or paid in compliance with applicable state and/or federal tax laws, wage and hour laws, regulations, and/or agency rules, guidelines, and the like.
  • Review payroll prior to each transmission. Ensure valid authorization has been granted for all payroll transactions. Maintain a detailed audit trail for all transactions. Ensure accurate and timely processing of all payroll additions, deletions, and changes.
  • Ensure accurate and timely generation of W-2 and 1095-C forms at year end.
  • Provide technical assistance to employees, including answering payroll and benefits questions and resolves any issues or errors.
  • Maintain current knowledge of various payroll systems and processes to ensure that all SCI payrolls are performing payroll functions accurately and efficiently. Make recommendations for improvement of accuracy and efficiency. Recommend and implement improved electronic processes for generating Payroll and HR reports utilizing Excel and ADP Reporting.
  • Prepare Payroll GL and monthly journal entries including FSA, Worker’s Compensation, tax notices, and ADP fees. Reconcile payroll, 401k, FSA, and Vacation Liability, general ledger accounts monthly. Catastrophic Leave and Wellness quarterly.
  • Organize, write, and maintain procedures for all payroll processes in a logical and methodical manner. Cross-train others on how to access and use payroll systems. Ensure employees are educated in relation to all payroll-related policies, procedures, benefits, and SCI guidelines.
  • Ensure maintenance, organization and retention of payroll records. Protect and maintain the confidentiality and security of all records (payroll records, medical records, other confidential information that identifies an employee or dependent and relates to a past, present, or future physical or mental condition of the individual or the payment of health care for that individual).
  • Ensure all appropriate stakeholders are fully informed of all pertinent payroll related issues.
  • Assists HR to coordinate and track temporary staff at the convention.
  • Administers the 401k plan including monitoring employee eligibility for participation. Distributes all required communication and correspondence as needed. Monitors processes of the 3rd party service provider. Leads the 401k audit.
  • Human Resources Functions:

  • Prepare, analyze, and distribute HRIS reports for departments and management. Support HR compliance reporting and I-9 administration.
  • Maintain knowledge of applicable city, state, and federal employment regulations and assist with compliance-related reporting and documentation.
  • Serve as backup to HR for recruitment, onboarding, performance reviews, and other employee relations and HR functions as needed. Provide administrative support, documentation, and follow-up under the direction of HR Leadership.
  • Issue and retrieve key cards. Run reports from the security system as needed.
  • Assist in responding to unemployment claims and represent the organization at hearings when necessary.
  • Administer and communicate benefits plans, including verifying eligibility status, reporting changes, supporting open enrollment, reconciling benefits information, and approving invoices for payment. Administer COBRA. Maintain and monitor confidential employee disability case files.
  • Maintain, monitor, and report employee leave, including FMLA and Workers’ Compensation. Follow up on active cases as needed. Complete the Workers’ Compensation audit and verify results for accuracy.
  • Perform other related duties as assigned. Attends meetings, conventions, site visits, Board meetings as appropriate to support the interest of the SCI family of organizations.
  • Qualifications

  • The position requires an Associate’s Degree in a Business related field
  • Minimum of 2 years of experience in Payroll and Human Resources.
  • Payroll or Human Resources certification preferred, such as Fundamental Payroll Certification (FPC), Certified Payroll Professional (CPP), Professional in Human Resources (PHR), or SHRM Certified Professional (SHRM-CP).Experience in leadership preferred.
  • Previous experience with ADP Workforcenow preferred
  • Hunters preferred
  • Valid driver’s license with ability to be insurable on SCI policy
  • Multi-state payroll processing experience
  • Proven problem-solving skills
  • Proficient with Microsoft Office Suite software, to include OneDrive, SharePoint, Teams with an ability to become familiar with SCI-specific programs and software.
  • Strong Excel skills and experience preparing, analyzing, and reconciling payroll, benefits, and HR reports.
  • Demonstrated excellence in verbal and written communication skills, interpersonal and customer service skills, organizational skills and attention to detail.
  • Motivation and strong desire to take on new challenges and learn as much as possible
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to adapt to the needs of the organization and employees.
