OPERATIONS COORDINATOR

About the Role
We are hiring a Business Operations & Growth Coordinator with a strategic and executiondriven mindset to support both new business acquisition and internal operational performance. This hybrid role blends highresponsibility administrative operations, endtoend order coordination, and growthoriented initiatives that require strong judgment and operational leadership.
The Coordinator will lead outreach campaigns, manage the CRM with analytical rigor, and identify highvalue business opportunities—while simultaneously overseeing order progression, coordinating vendor relationships, supporting fulfillment, and ensuring accuracy across financial and operational workflows. This is a dynamic, fastpaced position that requires advanced organization, critical thinking, initiative, and the ability to manage and prioritize multiple highimpact workflows concurrently.
Key Responsibilities
• Develop and execute targeted email outreach strategies to generate highquality leads and strengthen longterm client retention. • Administer and optimize the HubSpot CRM, ensuring data integrity, advanced pipeline oversight, and comprehensive documentation of all commercial interactions. • Lead the research and qualification of prospective clients across education, construction, healthcare, and government sectors, assessing strategic fit and growth potential. • Proactively coordinate with vendors and logistics partners, ensuring operational excellence through timely, accurate deliveries and consistent communication. • Monitor fulfillment workflows endtoend, proactively identifying risks, escalating issues, and driving resolutions to maintain operational continuity and accuracy. • Prepare detailed quotes and proposals, follow up strategically on outstanding payments, and maintain complete, highaccuracy sales and order documentation. • Contribute to crossfunctional projects, providing operational insight, initiative, and adaptability as the company continues to scale rapidly.
Must Have
• 2+ years of experience in CLIENT FACING operations, coordination, or similar functions, demonstrating strong ownership of complex, crossfunctional processes. • Experience with email marketing and CRM platforms (HubSpot preferred), with an analytical approach to system management. • Advanced organizational skills and the ability to lead and prioritize multiple workflows simultaneously in a highdemand environment. • Advanced proficiency in Microsoft Office (Excel required) for data analysis, operational reporting, and structured documentation. • Excellent written and verbal communication skills. • Proven ability to work independently, make informed decisions, and maintain strong followthrough across tasks and projects. • English level: C1, clear/neutral accent. • (Bonus) Prior experience in operations, logistics, procurement, or institutional client environments.
