Talent Acquisition Assistant

Location: Houston, TX (Onsite – Corporate)
Schedule: Monday–Friday | 7:30 AM – 4:30 PM or 8:00 AM – 5:00 PM
Reports to: Talent Acquisition Manager
Status: Full-Time | Exempt | Entry-Level

Position Overview

The Talent Acquisition Assistant is an entry-level, developmental role designed for individuals looking to begin a career in recruiting and human resources. This position provides hands-on experience supporting a fast-paced Talent Acquisition team with a strong focus on communication, coordination, and execution.

This role is critical to delivering a responsive, organized, and high-quality candidate experience while supporting recruiters, hiring managers, and internal stakeholders.

High performers in this role will have a clear growth path into a Talent Acquisition Coordinator position.

Key ResponsibilitiesInterview & Calendar Coordination
  • Schedule phone screens, virtual interviews, and onsite interviews across multiple recruiters and hiring managers
  • Manage high-volume recruiting calendars, including interview availability and scheduling changes
  • Coordinate interview logistics including confirmations, calendar invites, reminders, and reschedules
  • Ensure a seamless scheduling experience for both candidates and internal stakeholders
Recruiting Inbox & Communication Management
  • Support management of the Recruiting inbox, ensuring all incoming communication is reviewed, prioritized, and responded to in a timely manner
  • Route candidate, school, and internal inquiries to the appropriate team members while ensuring follow-up is completed
  • Identify urgent or high-impact messages and escalate appropriately
  • Pin, organize, and forward critical communications to recruiters and stakeholders
  • Draft professional, consistent responses on behalf of the recruiting team when needed
  • Ensure no communication is missed, delayed, or left unresolved
Externship & School Outreach Support
  • Research and maintain a database of Medical Assistant (MA), Licensed Practical Nurse (LPN), and Nurse Practitioner (NP) programs across target markets
  • Build and maintain relationships with school program coordinators, career services, and administrators to support externship and pipeline development
  • Coordinate and track externship opportunities, student placements, and outreach activity
  • Assist in planning and scheduling school visits, career fairs, and recruiting events
  • Maintain organized outreach and event calendars by recruiter and market
  • Monitor, route, and respond to externship-related communication and inquiries
  • Ensure all outreach efforts are tracked and followed through consistently
Orientation & Onboarding Support
  • Assist with new hire orientation logistics and preparation to ensure a smooth onboarding process
  • Support pre-start communication and documentation collection in partnership with recruiters and HR
  • Help coordinate onboarding timelines and communicate updates to internal teams
  • Participate in orientation and assist with communication of any changes to stakeholders
Administrative & Recruiting Operations Support
  • Assist with recruiting reports, metrics tracking, and documentation
  • Maintain recruiting trackers, outreach logs, and event calendars
  • Support process organization and consistency across the Talent Acquisition team
  • Provide general administrative support as needed
  • Perform other related duties as assigned
