Position Summary:
The Program Specialist plans,manages, and coordinates activities for the statewide New MexicoImmunization Coalition (NMIC). This position oversees the implementation ofimmunization-related programs, events, and outreach initiatives incollaboration with the New Mexico Department of Health (NMDOH), UNM HealthSciences Center partners, community organizations, and healthcare providers.
The Program Specialist is responsible forcoordinating meetings, trainings, and large-scale events; developing andmanaging outreach and educational materials; supporting grant- andcontract-funded activities; and serving as a key liaison between NMIC andinternal and external stakeholders, with support from the Senior ProgramManager and OCH administrative team and leadership. The position requiresstrong organizational, communication, relationship-building, andproblem-solving skills, and regularly represents NMIC in professional andpublic settings. Knowledge of immunization and vaccine issues, news, andscience is key.
Duties andResponsibilities:
Program Planning,Coordination, and Operations
• Plan,coordinate, and manage NMIC programs, initiatives, and special projects alignedwith statewide immunization goals.
• Overseeday-to-day operations of coalition activities, ensuring compliance with UNMpolicies and NMDOH contractual requirements.
• Coordinatequarterly and annual meetings, including NMIC Steering Committee meetings, IPACmeetings, NMDOH Immunization Coordinators' meetings (by public health region),webinars, and annual immunization trainings.
• OrganizeNMIC's Annual Meeting and support planning for the annual Vaccine AdvisorySpecial Team (VAST) meeting related to school vaccine requirements.
Meeting, Training, andEvent Management
• Planand coordinate in-person and virtual meetings, trainings, and events, includingagenda development, speaker recruitment, travel coordination, honoraria, andvenue logistics.
• Submitand manage Continuing Medical Education (CME) applications for NMIC webinarsand trainings.
• Coordinatecontracts, food services, materials, and on-site logistics in accordance withUNM administrative and purchasing policies.
• Presentinformation to groups as needed and support facilitation of meetings andtrainings.
Outreach,Communications, and Relationship Management
• Serveas a liaison between NMIC and internal and external partners, including NMDOHImmunization Program staff, healthcare providers, managed care organizations,UNM Health Sciences Center departments, and community-based organizations.
• Buildand maintain collaborative relationships to advance immunization efforts,particularly in areas where NMIC serves as a trusted intermediary foractivities NMDOH cannot undertake directly.
• Communicateregularly with partners via email, phone, and in-person meetings to coordinateactivities and follow up on program needs.
Marketing, Education,and Materials Development
• Design,produce, and manage NMIC marketing and educational materials in accordance withUNM and NMDOH branding and graphic design standards.
• Developnewsletters, brochures, posters, flyers, invitations, save-the-dateannouncements, billboards, social media content, and other outreach materials.
• Write,edit, coordinate, and translate materials as needed, including producingmaterials in Spanish and working with external writers and translators.
• Coordinateapproval processes with NMDOH for use of official logos and messaging.
Fiscal andAdministrative Support
• UtilizeUNM purchasing card (PCard) to manage program-related purchases, includingtravel, incentives, honoraria, event costs, office supplies, and equipment.
• Coordinatetravel and reimbursement for NMIC staff, speakers, and guests.
• Workwith vendors and printers to manage ordering, specifications, timelines, andbudgets for outreach materials and incentives.
• Ensurecompliance with UNM fiscal, contractual, and approval processes.
Campaigns and SpecialProjects
• CoordinateNMIC's annual "Got Shots" back-to-school vaccination campaign, includingworking with managed care organizations to organize and distribute incentives.
• Supportimmunization-related initiatives such as adult vaccine promotion, respiratoryseason outreach (flu, RSV, COVID-19), VFC provider recruitment, and special OCHprojects (e.g., SDOH initiatives, special events, and newsletters).
• Contributeto the development of immunization requirement charts and educational tools,including Spanish-language versions.
