About This Position
Hiring Range: $28.05 - $30.86 hourly
Work Schedule: 40hrs/week; Monday – Friday office hours flexed based on program needs; nights/weekends and holidays as scheduled programs dictate
NATURE OF WORK
As a member of the Community Events Division, individuals in this position perform work in a team-based environment supporting the Department’s mission and vision along with the goals, philosophies, and initiatives of the Recreation Manager. As a member of the Community Events Division team, individuals in this position make recreation opportunities accessible to the public through innovative and engaging programs. The Recreation Coordinator – Events & Sponsorships works primarily independently to design, develop, implement, and evaluate general programming and special events for a variety of audiences including youth, teens, young adults, and people with disabilities. This position is responsible for logistics, planning and implementation of large-scale events and requires considerable interpersonal communication skills and ability to promote collaboration and inclusion among internal and external groups. Additionally, this position assists with obtaining sponsorship for various Town events, as well as creating/maintaining relationships with event sponsors.
Individuals in this position perform work in a team-based environment supporting the Department's mission and vision along with the goals, philosophies, and initiatives of the Director. SUPERVISION RECEIVED
Individuals work under the direct supervision of the Recreation Supervisor - Programming to carry out assigned duties, functions, roles, and projects in both routine and complex circumstances.
SUPERVISION EXERCISED This individual supervises, recruits, trains, and schedules various part-time year-round staff, seasonal staff, volunteers, and several contractual employees at any given time.

ESSENTIAL JOB FUNCTIONS
The individual in the Recreation Coordinator – Events & Sponsorships role is assigned specific assignments, job duties, scope, authority, responsibility, roles, and requirements as determined by the town, department, division, and pursuant to laws, regulations, and practices. Individuals in this position must be able to successfully perform, be responsible for, and/or assist in the fulfillment of many job functions and duties, with or without reasonable accommodation.The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all-inclusive:
- Coordinates and facilitates special events for the town, including themes, concepts, and objectives in relation to organizational goals and town initiatives.
- Develop, plan, staff, and implement special events for the recreation team.
- Recruit, train, schedule, and provide coaching, guidance, instruction, supervision, and evaluation to part-time and seasonal staff, as well as volunteers
- Research and recommend opportunities for special events and community partnerships with outside organizations.
- Serves as a liaison between town departments/divisions, business owners, vendors, and outside event managers in the coordination of special events.
- Coordinates the work activities of employees and volunteers at events.
- Participates in the development of the budget for events.
- Negotiates event contracts and service agreements.
- Presents reports and outcomes of events to the Town Board and Management Teams.
- Oversee a team of Recreation Division contractors to provide quality programs and events
- Develop partnerships with community organizations to involve them in programming and offer sponsorship opportunities
- Facilitate various sponsorship sale opportunities. Maintain the Department/Division sponsorship packet
- Arrange and assist with event management and program logistics, including set up of technical equipment and materials, booking venues and vendors, and negotiating contracts with consultants
- Demonstrate good judgment and serve as a role model for positive and appropriate behavior through speech and action
- Develop new and innovative community events and programs that fulfill the mission of the Department of Parks, Recreation & Culture
- Take proper safety precautions, anticipate unsafe circumstances, and act accordingly to prevent accidents and injuries
- Serve as a resource for families, providers and participants who have questions, suggestions, or areas of concern, and communicate summary with Recreation Coordinators
- Oversee marketing for all managed programs and special events, including social media, print advertisements, and specialized promotional materials
- Maintain participation records
- Inventory and manage program equipment and supplies including vehicles, keys, town credit card, general activity supplies, and other town-owned property
- Performs administrative tasks such as purchasing, making budget recommendations, maintaining records of expenditures, and reports on financial transactions for events, requests for services, and more
- Represent the town in a positive, professional, and healthy manner
- Adhere to town policies, standards, and regulations, including but not limited to proper attire, safety procedures, and overall professionalism
Depending on organizational need, additional duties may include the following:
- The Recreation Coordinator – Events and Sponsorships position participates in the Shared Fleet Vehicle Program, which requires an annual motor vehicle record check.
- Perform research as directed, such as discovering new technology or tools, market research, etc.
- Participate in required staff training and meetings
- Assist with planning and implementation and provide staff support for special events and programs not directly managed
- Perform minor first aid and emergency contact as necessary
- Complete and submit accident/incident reports as necessary
- May be involved in special projects that are directly or indirectly related to essential job functions
- Work with local news organizations to promote the Recreation Division and its programs
- Performs related duties as established by law/ordinance or reasonably directed by the town.
- Assists other town departments/divisions, as necessary.
EDUCATION, EXPERIENCE AND FORMAL TRAINING
- Bachelor’s degree in Recreation, Leisure Administration, or related field preferred.
- Minimum of two (2) years of experience in a related field, such as recreation, programming, etc.
- Minimum of two (2) years supervisory experience preferred.
- Previous experience in recreation program development and implementation preferred
- Equivalent combination of training and experience that provides evidence that the applicant possesses the required knowledge, skills, and abilities to perform the essential functions of the job.
- Must have a current Colorado Driver’s License or the ability to obtain one upon hire, that meets the Town of Windsor’s standards
- CPR/1st Aid certification within three (3) months of employment
- Certified Parks and Recreation Professional certification preferred
- Ability to work a flexible schedule that includes office hours in the daytime, and programs evenings and weekends regularly
- Ability to multitask and manage multiple projects simultaneously
- Ability to work independently and to successfully complete tasks and projects with little supervision or staff support
- Excellent organizational skills and time management skills, as well as dependability
- Excellent customer service and interpersonal skills
- Knowledge of principles of recreation programs and special events that serve all ages
- Demonstrated skills in event planning and management
- Knowledge of effective communication techniques

- Ability to handle difficult or potentially stressful telephone calls or in-person situations involving program guests and their families / care-takers with courtesy, patience, good judgment, and in a diplomatic, professional manner
- Demonstrated personal effectiveness, credibility, thoroughness, flexibility, and collaboration skills in adhering to and advancing the town’s vision, mission, and values
- Knowledge of recreation needs and a basic understanding of the physical, cognitive, and socio-emotional needs of individuals with varying disabilities
- Ability to recognize and work within a participant’s strengths and limitations
- Capable of understanding, learning, and using adaptations, accommodations, and physical assistance techniques required for individuals with disabilities as needed
- Ability to make independent decisions and work with minimal supervision as well as a part of a team by supporting others and taking initiative to complete programs or projects
- Ability to operate a multi-passenger accessible lift van, a multi-passenger van, or other town-owned vehicles as designated
- Must have the ability to operate a variety of standard office equipment, e.g. copier, fax machine and personal computer
- Ability to apply simple math skills as necessary for programs and operations using units of U.S. currency and weight measurement, volume, and distance
- Knowledge of a variety of specialized and general computer software applications, including RecTrac, Microsoft Office Suite, databases, and basic graphic design

- Equipment: Position requires use of a variety of equipment including town vehicles, computers, tablets or other digital equipment, digital cameras, copiers, printers, scanners, fax machines, telephones, carts, participant electric or standard wheelchairs, and wheelchair lift.
