Senior Operations Associate
As a Senior Portfolio Operations Associate at Heritage, you will be responsible for all activities related to client servicing and account maintenance. You will support the functions of the Heritage Financial Planning & Tax team and Investment Advisory team. As a senior member of the team, you will coach and mentor associates to drive knowledge sharing and career development. The Senior Portfolio Operations Associate will report to the Portfolio Operations Manager or the Director of Operations. They will perform diverse operations functions requiring attention to detail, initiative, and sound decision-making. Responsibilities:
- Utilize the custodial platforms, Fidelity and Schwab, to complete requests.
- Utilize Tamarac and Salentica (CRM) to set-up accounts and code them properly.
- Extract data and reports from Tamarac or any other applicable software.
- Create and review reports from Tamarac to support the investment advisory team
- Have a deep level of understanding of how to create, edit, and publish performance reports.
- Drive the client onboarding process by opening new accounts, coordinating client signatures, and executing the transfer of assets.
- Complete all new and account maintenance paperwork.
- Complete daily account maintenance tasks, including: reconciliation, reviewing account alerts, and reviewing pending files.
- Complete ad hoc tasks from the Financial Planning & Tax team and the Investment Advisory team.
- Stay up to date on news alerts and enhancements from our systems
- Assist with general operations responsibilities and special projects for the firm as needed. This may include: enhancing CRM workflows, processing tax payments, and leveraging technology to track data more effectively.
- Assist with quarterly processes. This may include: billing/fee processing, quarterly reports, and compliance activities.
- Execute the Operations Training Rotation program.
Requirements
- Bachelor's degree or relevant experience required.
- Preferred experience with Tamarac or similar portfolio management and reporting software.
- 3-10 years of professional experience (within industry or another relevant industry: accounting, philanthropy, insurance, etc.).
