About This Position

Compile and analyze reports. Identify and document gaps, patterns, and trends related to our inputs and outputs. Provide recommendations to ensure processes are optimal for data quality and legislative compliance. Participate in the creation and maintenance of code tables as they support operational needs across various applications. Work with operations staff and management to gather, prioritize, and ensure business and legislative/judicial requirements and timelines are documented in our business rules and processes. Represent the organization in state level workgroups and initiatives.
  1. Compile, analyze, document trends and anomalies, and timely distribute reports including but not limited to the monthly and quarterly Florida Supreme Court Summary Reporting System (SRS) and non-SRS Reports for the Civil and Family Law Divisions, the Annual Assessment and Collections Report, the annual Collection Agent Report, the quarterly Collections Rate Report including corrective action plans, Indigency Report, Payment Plan Report, and the monthly and quarterly Outputs and Timeliness Performance Reports including related corrective action plans..
  2. Compile, analyze, and ensure timely entry of Mental Competency (MECOM) report data into the FDLE database in accordance with Florida Statutes. Resolve and document validation issues.
  3. Analyze and resolve discrepancies in case counting or reporting matters reported by the OSCA, the CCOC, and/or FDLE.
  4. Assist in the timely review, analysis, and correction of weekly Uniform Case Reporting (UCR) Activity Reports received from the OSCA. Work with departments to identify corrective action plans. Work in collaboration with the Chief of Strategy and Data Integrity as well as our vendor partners to incorporate and identify system changes or bugs.
  5. Assist in the development and maintenance of codes including financial accounts associated with maintaining, collecting, and reporting the statutory distribution schedule fines, fees and costs assessed and collected. Establish and maintain codes related to the integration of the Florida Courts E-filing Portal and our CMS, and other applications that support Clerk Office operations, as needed.
  6. Assist IT Project Coordinators in the creation of test plans and test cases to ensure adequate testing of vendor application updates related to enhancements or defects. Perform requirements and functionality testing. Ensure requirements are met, thoroughly tested, and documented.
  7. Develop, monitor and disseminate performance metrics for Clerk operations. Coordinate with management team members for the use of these metrics and efficiencies that may be implemented. Identify trends and assist in the correction of best practices, errors and inefficiencies.
  8. Identify ways to optimize application use and analyze impacts of changes to applications. In collaboration with the Chief of Strategy & Data Integrity, propose means of automation or enhancements to business processes and reporting mechanisms to improve data quality.
  9. Work with management to ensure functional areas have established written Standard Operating Procedures supporting our business processes.
  10. Maintain thorough, accurate, and organized records in support of audits
  11. Maintain current understanding of standards, trends, and Best Practices throughout the industry and other progressional networks and apply them to documented business processes and policies within the office.
  12. Analyze and track trends of court receipts and expenses. Review the causes of highs and lows of all financials and make recommendations to Chief of Court Operations for current and future budgets.
  13. Monitor budgets by fund, recommend changes to existing budgets through Budget Adjustments. Prepare and process budget adjustments approved by the Chief of Court Operations for the Clerk.
  14. Analyze local and legislative changes proposed and approved. Calculate the effect to the Clerk’s Office and report the financial impact to the Chief of Court Operations to assist in the development of the annual budget process.
  15. Act as a liaison between the Courts management team and the Clerk’s IT Department to ensure revisions to workflows are tested and implemented in a timely manner.
  16. Coordinate and assist in any special projects related to the Court Services Department, such as Operation Greenlight.
  17. Assist in the review and processing of all evidence through to its destruction.
  18. Foster a collaborative and productive work environment which elicits the utmost from co-workers and promotes quality.
  19. Develop and apply in-depth subject matter knowledge to support recommendations and implementations.
  20. Regular attendance and punctuality.

OTHER JOB DUTIES:

Perform other duties as assigned.
Associate’s degree in paralegal studies, business management, or a related field is preferred. Three or more years of court services experience is preferred.

An equivalent combination of education, training and experience may be substituted at the Clerk’s discretion.

ESSENTIAL PHYSICAL SKILLS:

Acceptable eyesight (with or without correction); acceptable hearing (with or without correction); ability to access, input and retrieve information from a personal computer; ability to sit for long periods of time; ability to access file cabinets for filing and retrieval of data; ability to communicate orally in order to answer the telephone; ability to sit at a desk and view a display screen for extended periods of time. Climbing, walking, standing, kneeling, bending, stooping, and lifting up to 15 lbs.

WORKING CONDITIONS:

Office environment. Work closely with others. Must have reliable transportation which employee may be required to use if a County vehicle is not available. Flexible hours and travel as required. Remote work eligibility is subject to management approval.
