Position Overview:

The Bilingual Case Processing Specialist serves as a frontline staff member responsible for transitioner intake, assessment, data management, and operational support across all shelter areas. This position ensures accurate documentation, thorough assessment, and appropriate service coordination through comprehensive interviews, trauma-informed engagement, and proficient use of data management systems. The Case Processing Specialist maintains a welcoming, professional presence while managing critical data entry and services. This position includes 24/7 coverage, and may include overnight shifts, evenings, weekends, and holiday coverage.

Essential Functions:

Case Documentation & Administrative Processing

Prepare, review, and maintain immigration case documentation in accordance with ICE proceduresOrganize and maintain case files and supporting documentation related to immigration proceedingsAssist with preparation and verification of case packets, administrative records, and supporting materialsEnsure case documentation is complete, organized, and compliant with federal documentation standardsMaintain strict confidentiality when handling sensitive personal and legal information

Data Entry & Records Management

Accurately enter and update case information in ICE systems of record and other designated databasesMaintain detailed electronic records and ensure timely updates to case status and documentationConduct routine quality checks to ensure accuracy and completeness of case dataTrack case processing activities and documentation throughout each stage of the processing workflowGenerate reports or documentation summaries as requested by supervisors or government personnel

Case Tracking & Processing Support

Monitor case processing timelines and ensure required documentation is submitted within established timeframesTrack case status updates and assist with administrative coordination of processing activitiesCoordinate documentation flow between processing teams and government personnelAssist with preparation of materials related to immigration proceedings or removal processing

Intake & Identity Verification Support

Assist with administrative intake procedures for individuals undergoing processingVerify identification documents and ensure accurate documentation of personal informationSupport administrative intake procedures by preparing documentation packets and intake recordsAssist with documentation related to biometric intake processes when required

Communication & Coordination

Communicate professionally with ICE personnel, supervisors, and other facility staffRelay administrative updates and case documentation status to appropriate personnelSupport coordination of daily administrative operations within processing teamsAssist in facilitating efficient workflow across case processing functions

Compliance & Documentation Control

Ensure all case documentation complies with federal privacy, security, and record-keeping requirementsMaintain chain of custody for sensitive records and documentationFollow established protocols for documentation retention and handling of confidential recordsImmediately report documentation discrepancies or compliance concerns to supervisors

Knowledge and Skills

Strong data entry and administrative documentation skillsHigh attention to detail and accuracy in records managementAbility to manage large volumes of documentation in a structured environmentAbility to learn and operate government case management systemProficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.) toolsStrong organizational and time-management abilitiesProfessional communication skills in fast-paced operational environmentsAbility to maintain confidentiality when handling sensitive informationAbility to work independently and as part of a coordinated processing teamCultural competency and sensitivity to diverse backgrounds and experiencesStrong observational skills and ability to identify safety concernsCrisis intervention and de-escalation skillsStrong interpersonal and communication skills with ability to interact respectfully with diverse populations

Education and Experience

High school diploma or equivalent requiredTwo (2) or more years of administrative, clerical, or records management experience preferredExperience supporting government operations, legal administration, or immigration processing environments preferredExperience with electronic case management systems or databases strongly preferredBilingualMust be a U.S. citizen to comply with federal contract requirements

Requirements of Employment

Employees must be a U.S. Citizen or a Legal Permanent ResidentEmployment is contingent upon successful completion of the following screening:Federal background investigation (up to and including a Tier 4 DHS clearance)Criminal history checkVerification of employment and education historyCompliance with all government credentialing requirementsDrug screeningEmployees must adhere to all federal security, confidentiality, and operational protocols while working within government facilities.

Work Environment

Fully onsite position within an ICE processing facility in MarylandWork schedules include 24/7 coverage, and may include shifts on overnights, evenings, weekends and holidays.Standard administrative office and processing facility environmentMay involve extended periods of computer work and documentation processingFast-paced operational environment requiring attention to detail and professionalism

Physical Requirements:

Ability to sit at a computer workstation for extended periods while conducting data entry and interviewsAbility to stand and walk for extended periods during facility operations Ability to lift, carry, and move supplies and equipment up to 50 poundsAbility to bend, stoop, reach, and perform repetitive motionsCapability to work in varied environmental conditions (indoor/outdoor, temperature variations)Ability to respond quickly to emergency situations throughout the facilityVisual acuity for detailed computer work and document reviewAuditory ability to conduct interviews and monitor facility for safety concerns
