Job Description

Position Summary:

The Project Producer will be responsible for managing and overseeing the production of high-volume, complex projects within the company’s operations. This role involves leading cross-functional teams, optimizing processes, and ensuring that projects are delivered on time, on budget, and meet the highest quality standards. The ideal candidate is a seasoned professional with strong project management expertise, excellent organizational skills, and a strategic mindset.

This role may be structured as either a contract-to-permanent engagement or a full-time, exempt employee position, depending on business needs and candidate alignment. Final employment classification will be determined at the time of offer. All new hires are subject to an initial assessment period during which performance, role fit, and business needs are evaluated. Continuation of the role is not guaranteed.

Key Responsibilities:

  • Lead the planning, execution, and delivery of complex projects, ensuring alignment with client expectations and company standards
  • Oversee and coordinate cross-functional teams, including contracted study participants, transcribers, translators, and external vendors, ensuring seamless execution
  • Partner closely with Recruitment on large-scale, international staffing efforts; develop structured outreach processes, messaging frameworks, and scalable sourcing strategies
  • Act as the primary liaison for clients and internal stakeholders, providing consistent, data-driven updates and managing expectations throughout the project lifecycle
  • Implement and continuously refine Agile-based workflows, ensuring iterative progress, adaptability, and transparency across projects
  • Design, document, and optimize end-to-end operational processes, establishing best practices and repeatable frameworks for future scalability
  • Utilize Asana (or similar tools) to build and manage project plans, task dependencies, timelines, and reporting dashboards
  • Establish and monitor quality control processes to ensure all deliverables meet or exceed internal and client standards
  • Manage project budgets, track expenditures, and provide forecasting and reporting to senior leadership
  • Identify risks proactively and implement mitigation strategies to minimize impact on timelines and quality
  • Maintain comprehensive documentation, including process maps, playbooks, and post-project evaluations, with a focus on continuous improvement
  • Support leadership with strategic initiatives and cross-functional operational improvements

Physical Requirements:

  • This is a remote position that requires the ability to work in a quiet, professional environment free from distractions to support productivity and confidentiality. Team members must be able to appear on camera for video calls and communicate clearly, with the ability to both speak and hear effectively during virtual meetings.
  • This is a full-time leadership position that requires general availability between 9:00 am - 6:00 pm PST. While core hours remain consistent, some flexibility may be needed to accommodate meetings and shifting priorities.
  • Occasional travel may be required for special meetings, trainings, or team gatherings at the company’s headquarters or other designated locations.
  • This role routinely uses standard office equipment such as computers, phones, filing cabinets, etc. Specific physical and environment requirements may include:
    • Strong visual acuity for reviewing detailed documents and data on computer screens
    • Manual dexterity for operating a computer, including using a keyboard and mouse
    • Ability to lift and carry office supplies or equipment weighing up to 25 pounds
    • Clear verbal and written communication skills for collaboration across teams
    • Flexibility to adjust schedules based on project needs, with occasional requests for additional hours during temporary projects.
    • Capacity to manage tasks that require prolonged periods of focus and concentration
