About This Position
The Project Coordinator supports the Customer Success Team, to help drive customer satisfaction and operational efficiency. The role requires strong attention to detail, excellent communication skills, and proficiency in key business software systems.
Essential JOB DUTIES
Essential job functions and duties include, but are not limited to, the following:
- Serve as the primary point of contact for customers after receipt of Purchase Orders, responding to inquiries and providing proactive order and project status updates.
- Review, verify, and accurately enter sales orders into the ERP system, ensuring all order details, pricing, and delivery requirements are correct.
- Create, process, and manage Purchase Orders for domestic suppliers within the ERP system to support accurate and timely fulfillment of the order.
- Manage customer packaging and fulfillment projects from Purchase Order receipt through order completion, shipment, invoicing, and after‑sale support.
- Maintain strong familiarity with customer service history and account requirements to deliver informed, responsive, and tailored support.
- Coordinate closely with domestic suppliers, Internal Team, Inside Sales Managers, and Sales Executives to ensure project milestones and shipment deadlines align with customer commitments.
- Monitor project timelines and proactively identify risks, delays, or issues, collaborating with internal teams and suppliers to resolve them efficiently.
- Act as an escalation point for complex or high‑impact order and fulfillment issues, ensuring timely resolution and clear communication.
- Coordinate sample shipments for Inside Sales Managers, ensuring accurate and timely dispatch and delivery.
- Ensure accurate and timely invoices for supplier purchase orders and customer sales orders in accordance with company policies.
- Support process improvement initiatives, including documenting workflows, standard operating procedures, and best practices related to order processing and fulfillment coordination.
- Support Inside Sales Managers with project coordination and administrative tasks as required.

KNOWLEDGE, SKILLS & ABILITIES
- Strong knowledge of the order lifecycle, including sales and purchase order processing, fulfillment coordination, shipment tracking, invoicing, and after‑sale support.
- Experience using ERP systems for order management and billing (e.g., NetSuite, SAP, Oracle, or similar).
- Ability to manage multiple complex projects simultaneously with strong attention to detail and accuracy in a fast‑paced environment.
- Strong organizational, prioritization, and time‑management skills with a proactive, problem‑solving approach.
- Excellent written and verbal communication skills with customers, suppliers, and cross‑functional internal teams.
- Proven ability to identify risks and resolve issues proactively, including acting as an escalation point when needed.
- Proficiency in Microsoft Office (Excel, Outlook, Word); CRM experience is a plus.
- Ability to work independently while collaborating effectively within a team and supporting onboarding or mentoring as needed
The appropriate knowledge, skills and abilities required for this position are achievable through the following combination of education, work experience and training:
EDUCATION, EXPERIENCE & TRAINING
- Associate or bachelor’s degree in business, Supply Chain, Operations, or a related field, or equivalent combination of education and relevant work experience.
- 3–5 years of experience in project coordination, order management, customer operations, sales operations, or supply chain–related roles.
