About This Position
Join the City of Bothell as an Executive Assistant to the City Manager and play a vital role supporting City leadership and executive operations. In this position, you’ll manage executive calendars, coordinate meetings and communications, support financial processes, and prepare materials for City Council and leadership. As a key point of contact for staff, visitors, and community members, you’ll represent Bothell with professionalism and a commitment to our welcoming community values.

Default schedule will be the following: 5/8's Mondays - Fridays, with flexible start time.
Note: This role will be onsite for up to the first four months, with opportunities to work a hybrid schedule thereafter or as discussed with manager.
- Serve as a trusted partner to the City Manager, providing thoughtful, detail-oriented administrative support to the City Manager, Deputy and Assistant City Managers, City Council, and Executive Department work team. This work involves handling sensitive and confidential matters with professionalism, discretion, and independent judgement.
- Coordinate dynamic and often fast-changing calendars for City leadership and staff, balancing competing priorities, anticipating needs, and ensuring schedules run smoothly.
- Live Bothell’s value of being a welcoming community by serving as a key point of contact for community members, visitors, and staff. Demonstrate listening attentively, responding with accurate information, and connecting people with the right resources to ensure a positive and responsive experience.
- Support the financial operations of the department as the budget coordinator, which involves roles including accounts payable and receivable, payroll, purchasing, financial reporting, and grant tracking.
- Collaborate with leadership to prepare clear and engaging communications, including drafting City Council agenda materials, executive correspondence, and presentation.
- Support success of meetings ranging from two people to 20+, coordinating scheduling, room and resource needs including materials and refreshments and being able to shift focus as circumstances change.
