Position Summary

Under the direction of the Community Relations Director, the Community Relations Coordinator supports occupancy goals while delivering a seamless, high-touch experience for new residents and their families. This role is responsible for coordinating the move-in process, supporting brand execution, and ensuring the community consistently reflects a polished, elevated presentation.

Serving as a liaison between departments, the Coordinator plays a key role in ensuring operational excellence from first impression through move-in, while providing sales support and coverage as needed.

Key Responsibilities

Move-In Coordination and Resident Experience

  • Coordinate all aspects of the move-in process from deposit through move-in day
  • Collect and track required medical documentation and paperwork
  • Schedule and coordinate assessments with the care team
  • Partner with maintenance to ensure timely, high-quality apartment turns and readiness
  • Coordinate keys, apartment preparation, and welcome home experience
  • Serve as a primary point of contact for residents and families throughout the transition

Cross-Department Coordination

  • Collaborate with Maintenance, Dining, Lifestyle, Care Team, and the Business Office
  • Ensure clear communication and seamless execution of all move-in and resident-related needs

Brand and Social Media Execution

  • Capture and share high-quality photo and video content that reflects the community’s lifestyle
  • Maintain a consistent, elevated social media presence aligned with brand standards
  • Ensure all resident-facing materials and visual touchpoints reflect a refined and cohesive presentation

Events and Community Engagement Support

  • Assist in the coordination and execution of on-site events and networking opportunities
  • Support event presentation to ensure alignment with brand standards and overall experience

Sales Support and Coverage

  • Provide sales coverage on designated days and as needed, in the absence of the Community Relations Director
  • Support walk-ins, scheduled tours, and follow-up communication
  • Assist with CRM (Yardi) updates and task management under the direction of the Community Relations Director

Administrative and Systems

  • Maintain accurate and timely records related to move-ins, deposits, and resident status
  • Track move-in timelines and support internal communication across departments

Presentation and Environment

  • Maintain all sales and tour spaces to ensure they are organized, stocked, and consistently presentation-ready
  • Ensure collateral, displays, and materials reflect a high-end, on-brand environment at all times

Additional Responsibilities

  • Maintain inventory of tour materials, collateral, and promotional items
  • Coordinate tour gifts and welcome items
  • Support waitlist tracking and communication
  • Develop a working understanding of community care levels and services

Qualifications

  • 3–5 years of experience in customer service, hospitality, sales support, or senior living
  • Strong organizational skills with attention to detail
  • Professional communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience with CRM systems (Yardi preferred)
  • Valid driver’s license
Requirements:

CANDIDATE QUALIFICATIONS

Education:

  • A High School diploma is required.
  • A bachelor's degree in marketing, business, or a related field is preferred, or an equivalent combination of experience and education.

Experience, Competencies, and Skills:

  • At least 2 years of experience in retirement housing, hospitality, or healthcare sales and marketing is preferred.
  • Proven success in achieving sales goals and quotas.
  • A positive team player mentality and passion for serving seniors.
  • Ability to work in a fast-paced environment and capacity to work evenings and/or weekends if needed.
  • Knowledge of various computer systems, particularly Excel, Word, and Outlook.
  • Experience with Yardi or similar CRM software preferred.
  • A valid driver’s license.
