Job Description

We're looking for an experienced Transaction Coordinator to join The Jones Group at eXp Realty as a core operational partner. You'll be the first voice on inbound buyer and seller calls, route leads intelligently to our team, and embed yourself in client care from initial consultation through closing and beyond.

You're not sitting on the sidelines; you're on the call with our lead agent for initial consultations, making real-time routing decisions, managing 4 to 8 transactions monthly, and staying available via text for client support. You'll also help us systematize and grow our repeatable operational workflows

We're based in Winter Garden, Florida, and while much of this role is remote, being in the greater Orlando area means you align better with our team when interfacing with clients. This role demands someone who's tech-forward, comfortable watching multiple communication channels at once, and ready to think operationally about how we scale. You'll work closely with our lead agent(me), our videographer, our admin team, and our other agents—so communication and teamwork are non-negotiable.

Location: Based in the greater Winter Garden or Orlando metro area. Flexibility to work remotely with occasional in-office support as needed.

Compensation:

$45,000 - $55,000 per year


Responsibilities:
  • Inbound Lead Management: Answer inbound buyer and seller calls five days a week. Qualify leads, gather information, and route them appropriately to the lead agent or team agents based on buyer profile and agent availability.
  • Lead Routing and Assignment: Work directly with the lead agent to make real-time routing decisions. You'll be embedded in initial consultation calls, understand client needs and timelines, and intelligently assign leads to the right agent on the team.
  • Transaction Coordination: Quarterback the listing setup process from contract to close for four to eight transactions monthly. Work with our marketing team to ensure listing execution matches agent parameters. Manage contract timelines, coordinate with title companies, lenders, inspectors, and other transaction stakeholders. Keep all parties aligned and moving forward.
  • Client Care and Communication: Maintain ongoing client communication throughout the transaction lifecycle—pre-close, under contract, post-close, and beyond. You're the continuity point clients that keep clients feeling supported and informed.
  • Operational Systems Support: Help systematize and grow our repeatable workflows. Identify bottlenecks, suggest process improvements, and help us scale operations as the team grows.
  • Administrative Coordination: Work alongside our administrative team to ensure smooth execution. You'll quarterback priorities, delegate tasks where appropriate, and ensure nothing falls through the cracks.
  • Team Collaboration: Communicate daily with the lead agent, marketing team, videographer, other agents, and support staff. You're the operational hub keeping everyone coordinated.

Qualifications:

Required Experience:

  • Minimum of one hundred-plus transactions coordinated in a transaction coordinator or operations role within the last two months
  • Recent real estate office, team operations, or team lead experience
  • Proficiency with Florida real estate contracts and Stellar MLS
  • Active use of AI tools in your current or recent workflow (non-negotiable)
  • Comfortable managing multiple communication channels simultaneously (email, text, instant messaging, phone) without feeling overwhelmed

Technical Requirements:

  • Dual-monitor setup at home or equivalent large-screen configuration
  • Mac or Windows proficiency
  • Ability to learn and adapt quickly to new platforms and systems
  • Experience with transaction coordination software platforms (Follow Up Boss, Inside Real Estate, Dotloop, or similar) is ideal but not required
