Job Description
The Contract Administrator manages the full lifecycle of service contracts called Customer Value Agreements (CVAs) associated with heavy equipment, including CAT and non-CAT machines. This role is responsible for preparing and delivering CVA quotes, administering renewals and auto-renewals, tracking active agreements, and ensuring accurate communication across departments. The position supports sales and product support teams by maintaining contract data, providing reporting and analytics, and ensuring customers receive consistent, value-driven service.
Duties and Responsibilities
• Demonstrate a strong personal commitment to workplace safety for self and team members
• Track and maintain records for all equipment covered under Customer Value Agreements
• Prepare and deliver accurate service contract quotes for CAT and non-CAT equipment
• Administer contract renewals and manage auto-renewal processes to ensure uninterrupted coverage
• Monitor equipment usage data to support service scheduling and contract management
• Communicate contract status, renewals, and service information to internal teams, including Sales, Product Support, and
Business Operations
• Maintain accurate contract data in applicable systems (CRM, ERP, spreadsheets, or internal databases)
• Generate and distribute monthly and quarterly reports for internal stakeholders and Caterpillar, including CVA sales activity
and equipment coverage
• Track CVA activity by salesperson and Product Support Sales Representative
• Identify process improvement opportunities and provide recommendations to leadership
• Perform other duties as assigned
Qualifications
• Associate degree or some college coursework required; equivalent experience considered
• Technical training or experience in equipment, service, or contracts preferred
• 1+ years of experience in contract administration, sales support, customer service, or a related role preferred
• Proficient in Microsoft Office applications, particularly Excel, Outlook, and Word
• Strong organizational skills with attention to detail
• Ability to work independently, prioritize tasks, and meet deadlines
• Effective written and verbal communication skills
Preferred Skills
Preferred skills enhance effectiveness in the role but are not required.
• Associate degree or higher in Business, Technology, or a related field; equivalent work experience considered
• Background or prior experience in the construction or heavy equipment industry
• Customer service, customer support, or sales support experience
• Prior experience working for a Caterpillar dealer
• Familiarity with Caterpillar equipment, Customer Value Agreements, or heavy equipment technology
• Experience using Caterpillar systems and applications such as DBS, SIS, VisionLink, or similar OEM platforms
