Job Summary:
Provide support and assistance to the Health Service Administrator in various administrative and
clerical duties.
Job Responsibilities:
• Receive telephone calls and visitors; screen those that can be handled by assistants or directs those that require the attentions or action of other professional staff members. Personally, manages substantive questions not requiring medical knowledge.
• Maintain H.S.A. calendar and schedule appointment and meetings. Ensures that H.S.A. is fully briefed on matters to be considered before scheduled meetings. Assembles background information/agenda items.
• Attends meetings and takes minutes, as required.
• Receive incoming correspondence, corrections, distributions and bills. Screens out those items, which can be handled personally forwarding remainder to professional staff.
• Type all outgoing correspondence and draft replies to general correspondence not pertaining to medical subjects. Sign routine correspondence of a non-medical nature.
• Perform administrative duties related to Human Resources: prepares Personnel Action forms/ Employee Status forms and assures all new hire paperwork is correct. Maintain all personnel files, ensuring all records are current and are compliant.
• Prepares payroll for H.S.A. review. Follows through with any payroll-related questions.
• Maintain monthly statistics and prepare for H.S.A. review and signature.
• Maintain inventory of all supplies, receive incoming supplies from vendors and reconcile supply billing.
• It is an essential part of the job that CPS can ask the employee to work beyond his/her regularly scheduled hours.
• Follow all security rules and regulations.
• Performs other duties and responsibilities as assigned.
Schedule:
Monday–Friday, 7:00 AM – 3:30 PM.
Rate:
Hourly Range: $24–$29/hour, based on experience.
Requirements:Qualifications and Experience:
• High school Diploma or GED.
• Minimum of one year experience as an administrative assistant, medical secretarial
experience preferred.
• 45-50 wpm typing speed.
• Demonstrates proficiency in Microsoft Word, Excel and Power Point.
Physical Requirements:
- Regularly required to stand; sit; use hands to handle or feel; reach with hands and arms; climb or balance; stoop; kneel, crouch; talk and hear.
- Regularly lift and/or move up to 25 pounds; occasionally lift and/or move over 35 pounds.
- Able to adequately perform CPR.
