Position Summary

The Accounting Associate exemplifies the DCF’s commitment to excellent donor service and inspires fulfillment of our Donor Promise, to help people give with joy and confidence, throughout the entire organization.

The part-time Accounting Associate provides essential support to the Finance & Operations team with a focus on gift entry, grant disbursement support, and accounts payable processing. This position is responsible for supporting high-volume transaction processing and ensuring accurate, timely, and well-documented entries. The part-time associate works Tuesday - Thursday in our Wilmington, DE office, under the direct supervision of the Manager of Accounting and in close coordination with the full-time Accounting Associate.

The position reports directly to the Manager of Accounting

KEY RESPONSIBILITIES

Gift Entry & Processing

• Enter incoming gifts accurately into the fund accounting system

• Process gifts including cash, check, ACH, and wire transfers

• Compile backup documentation for all gift entries

• Assist with creation of monthly gift upload files

Grant Disbursements

• Assist with preparation of grant disbursement checks and transmittal letters

• Mail grant disbursements and donation acknowledgment letters; manage returned mail

• Assist with due diligence steps for grant processing as directed

• Respond to basic grantee and donor inquiries

Accounts Payable Support

• Assist with processing of accounts payable transactions

• Compile and organize backup documentation for payable entries

• Assist with reconciliation of credit card receipts

Records & Administrative Support

• Maintain organized electronic records and filing

• Prepare & mail acknowledgement letters

• Communicate with fund holders as necessary

• Assist with transfers between funds as directed

• Support audit preparation activities as needed

• Perform other duties as assigned by the Manager of Accounting

CANDIDATE PROFILE:

Required Qualifications

  • Minimum 1 year of experience in a financial office environment
  • Proficiency in Microsoft Office Suite (particularly Excel);
  • High degree of discretion in handling confidential information
  • Demonstrated accuracy in data entry and financial transaction processing

Preferred Qualifications

  • Associate’s degree preferred
  • Experience with fund accounting software
  • Experience with grant processing or donor-advised fund administration a plus
