The role
We are seeking a proactive, highly organized Executive Assistant & Office Manager to support the US Leadership Team and New York office on-site, working closely with the Chief People Officer, Chief Economist, and other US senior leaders.
This role combines executive support, operational coordination, and office leadership. The successful candidate will act as a trusted partner and gatekeeper, ensuring smooth operations, coordination and collaboration with the EA team at our London Headquarters, strong stakeholder alignment working closely with our US Leadership team, and ensuring an efficiently run NY office.
Responsibilities
Diary & Travel Management
- Manage complex executive calendars across email, Slack, Google Meet, and Zoom.
- Coordinate domestic and international travel, including expense tracking and reimbursements.
Meetings & Events
- Organize internal and external meetings, preparing agendas, briefing materials, minutes, and follow-ups.
- Draft presentations for Town Halls and leadership meetings.
- Support in scheduling US Leadership speaking engagements, aligning with business priorities.
- Evaluate event invitations for strategic and revenue alignment.
- Coordinate on-site logistics, client dinners, and branded merchandise.
Financial & Operational Support
- Process and code invoices and expenses.
- Manage vendor onboarding, contractor payments, and financial records.
- Process internal new hires requisitions and support.
Stakeholder Management
- Manage executive communication channels.
- Serve as a key point of contact for internal and external stakeholders.
- Welcome guests and oversee professional meeting space setup
- Coordinate US leadership meetings and liaise with the London EA team as needed.
Executive Assistant to the Chief People Officer
- Provide support and strategic partnership for the CPO and the People Leadership Team, taking initiative and ownership of tasks including understanding of the People Team priorities.
- TEG Board and TEG LT planning and preparation for meetings (Including Board pack collation).
- Manage the CPO’s diary with sound judgement and clear prioritisation, making informed decisions aligned to business and People Team priorities.
Office Management & Culture
- Oversee NY office operations in collaboration with Facilities and the Regional People Business Partner.
- Plan quarterly and monthly office events (holiday party, summer events, wellbeing initiatives).
- Chair the social committee and drive employee engagement initiatives.
Special Projects and Project Management
- Independently manage ad hoc and special projects assigned by CPO or US Leadership team.
- Ensure alignment between Global EA team on wider support of projects when needed.
Who you are
- Bachelor’s degree in Business, Economics, Communications, or related field
- Significant experience supporting senior executives, including board-level exposure
- Experience in executive support, sales coordination, operations, or event logistics
- Advanced proficiency in Microsoft Office and Google Workspace
- Strong presentation development and minute-taking skills
- Experience with travel logistics, expense management, and vendor coordination
- Excellent written and verbal communication skills
- Strong organizational, financial, and commercial acumen
- High discretion and professionalism
- Ability to anticipate challenges and proactively problem-solve
- Proficiency in Zoom, Slack, Salesforce, travel booking platforms and project management tools

This is a high-impact opportunity for a commercially minded, detail-oriented EA who thrives in a fast-paced executive environment, able to work across global time zones, and is eager to serve as a strategic partner to senior leadership while shaping office culture and operations.
The expected base salary for this position ranges from $80,000.00 - $110,000.00. It is not typical for offers to be made at or near the top of the range. Rather, salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered.
