Job Description
A Pearl Accounts Payable Clerk reports to the Financial Controller and is responsible for creating leaders and fostering the Pearl culture within the hotel departments for Pearl Hospitality. A Pearl Accounts Payable Associate must ignite the human spirit by creating unrivaled hospitality experiences fueled by fun, enthusiasm, and compassion that challenge each person to unlock their potential.
An Accounts Payable Associate must ensure maximization of profitability by controlling expenses, billing properly, and ensuring payables are correct. The Accounts Payable Associate must ensure that our associates and our customers are always treated with the utmost respect, since they are the key to our success. All hotel operations must be executed at the highest level of professionalism and courtesy. The Accounts Payable Associate must drive results through effective training, coaching, leading, motivating, empowering, and following through with all the associates.
An Accounts Payable Associate must ensure impeccable organization, secure, and maintain all files, records, cash, and cash equivalents in accordance with policies and procedures. Prepare, review, reconcile, and issue bills, invoices, and account statements per company procedures. Follow up and resolve past due accounts and vendor invoices until payment in full is received or resolved. Prepare daily consolidated deposits of cash received by all cash handling employees. Document, maintain, communicate, and act upon all Cash Variances. Prepare, maintain, and administer all cashier banks and contracts.

- Maintain current knowledge of all accounting systems.
- Ensure account coding is accurate, and invoices are processed timely.
- Respond promptly to vendor inquiries.
- Ensure purchasing policies are followed
- Set up new vendors per policy.
- Audit daily deposits.
- Prepare and submit petty cash reimbursements per accounting policies.
- Reconcile daily postings of cash and report daily overages/shortages.
- Adhere to hotel grooming standards.
- Perform any additional tasks requested by management.
- Must always be able to conduct daily business with integrity and be ethical
- Must maintain a safe working environment through ongoing compliance of safety guidelines
- Treat guests, associates, vendors, and co-workers with professionalism and respect always
- Ensure emergency procedures are understood by all through ongoing training and documentation
- Be able to work well under pressure and meet or beat deadlines
- Written and verbal communication skills
- Microsoft Word, Excel, and specified accounting software and applications
- Perform other tasks that are deemed necessary to the success of Pearl, the hotel and the associates
Physical Requirements - (not limited to)
- Must be able to lift, push, pull, and carry up to 50 lbs.
- Must be able to stand, stoop, bend, crawl, reach above and below shoulders, repetitive arm and wrist use, climb ladders and stairs, and walk on uneven surfaces.
- Must be able to operate a motor vehicle or provide transportation to travel to various properties in the city.
- Must be able to see and hear.
- Must be able to communicate verbally and in writing.
- Must be able to work around a moderate noise level.
