Job Description
The Sales Administrator plays a critical role in supporting operational execution within the sales organization. This position focuses on ensuring accurate proposal preparation, order processing, data integrity, and cross‑functional coordination between Sales, Operations, Scheduling, and Finance.
This role is ideal for someone who is highly organized, process‑driven, and comfortable working across systems and departments to keep orders and information moving efficiently from quote through fulfillment.
Ability to organize data and numbers into usable form for ease of future reference. Must be able to coordinate across departments. Ability to work to deadlines. Analytical and detail oriented. Commitment to process improvement.
2–3 years of progressive experience in sales operations, order administration, customer service, or administrative support. Experience in manufacturing a plus.
Duties
- Prepare customer proposals, quotes, and supporting documentation using established tools and templates
- Maintain and update standard proposal documents, pricing references, and controlled sales forms
- Distribute proposals and ensure required technical, pricing, and third‑party documentation is included
- Track proposal and order status using CRM and internal tracking systems
- Create and manage Sales Orders and Special Orders in SAP, including invoice triggers
- Prepare Sales Order documentation and Command Sheets in accordance with department workflows
- Manage stock order processes, monitor stock status, and maintain historical records
- Ensure accuracy and completeness of data entered into CRM and ERP systems (SAP)
