About the Role

This role serves as the operational hub of our Client Resource Program, which provides direct financial assistance to support clients in crisis.

You will manage the full lifecycle of client assistance requests, balancing speed, accuracy, and compliance across multiple funding sources. This is a highly detail-driven role requiring strong Excel skills, financial tracking, and independent decision-making, combined with internal customer service and cross-team collaboration.

This position is ideal for someone who thrives in structured, high-responsibility work and wants to contribute to mission-driven programs without being in a direct service role.

Key Responsibilities

  • Manage the full lifecycle of client assistance requests, from review through fulfillment, ensuring timely, accurate, and compliant processing in a high-volume environment
  • Review and assess requests for completeness, documentation, and alignment with program and funding guidelines
  • Interpret and apply funding rules across multiple grants and restricted funding sources to determine allowable expenses
  • Execute detailed financial and operational tasks, including purchasing, check requests, expense coding, and coordination with Accounts Payable
  • Reconcile transactions across multiple systems (e.g., receipts, vendor orders, credit card statements) and resolve discrepancies with accuracy
  • Maintain organized, audit-ready documentation, including receipt tracking, grant expense documentation, and compliance records
  • Serve as a key point of contact for internal stakeholders, providing proactive, clear, and timely updates while managing expectations
  • Build and maintain strong working relationships with program staff, finance, and administrative partners
  • Utilize tools such as Excel, Smartsheet, and internal tracking systems to manage workflows, ensure data integrity, and support reporting
  • Support grant and program operations, including assisting with tracking, documentation, and occasional cross-functional projects

Requirements

  • Bachelor’s degree required
  • 3–5 years of experience in program operations, financial processing, administrative coordination, or compliance-related roles
  • Advanced proficiency in Excel required (data tracking, organization, reconciliation, formulas)
  • Experience managing or reconciling financial data across multiple systems or funding sources strongly preferred
  • Strong attention to detail and ability to manage complex, high-volume workflows with accuracy
  • Excellent organizational, time management, and problem-solving skills
  • Strong written and verbal communication skills
  • Ability to work independently with a high level of ownership and accountability

Rate $21.50 to $34.83 based on experience and internal equity
