Job Summary:
The Office Administrator is responsible for ensuring the smooth day-to-day operations of the office. This role supports staff, manages a wide range of administrative tasks, and maintains an organized and efficient workplace environment. This role also involves providing administrative support to senior leadership and executives, including managing calendars, preparing documents, and facilitating communication to ensure priorities and deadlines are met efficiently.

Primary Responsibilities:

  • Oversee day-to-day office operations to ensure smooth workflows and high service standards
  • Handle incoming calls, emails, and general inquiries in a professional manner
  • Maintain and monitor office supplies and equipment inventory in all locations, and place ordered when needed
  • Manage office functions including, but not limited to, reception, mail distribution and document preparation
  • Coordinate end-to-end logistics for staff meetings and events, including scheduling, materials, and vendor support
  • Coordinate catering and meal arrangements for meetings and events, including ordering lunch and managing dietary requirements as needed.
  • Coordinate travel arrangements for staff, including booking flights, accommodations and rental, which ensuring cost-efficiency and adherence to budget.
  • Manage timely replacement of toner cartridges.
  • Prepare and edit documents, trackers and presentations using tools like Microsoft Outlook, Microsoft Excel, and Microsoft Word
  • Maintain cleanliness and stock levels of office beverage stations.
  • Source, negotiate and manage relationships with office vendors and service providers.
  • Provide administrative and operational support to the leadership team and cross-functional departments as needed.
  • Other related duties as assigned.


Requirements:

  • Proven experience as an Office Administrator, Administrative Assistant, or similar role
  • Certificate/Diploma or bachelor’s degree in Business Administration is preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
  • Maintain a professional, polished presence with an executive demeanor, demonstrating discretion, strong interpersonal skills, and the ability to interact confidently with senior leadership and external stakeholders.
  • 5+ years of experience in the manufacturing industry, preferably in food manufacturing.
  • Experience coordinating travel and negotiating with vendors is a strong plus.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills
  • Strong attention to detail and highly organized
  • Strong communication, analytical and troubleshooting skills with the ability to make timely decisions associated with process upsets.
  • Adaptive work style with an ability to handle multiple priorities, challenging demands and function positively in a dynamic collaborative work environment.
  • Communicates well and deals professionally with all levels of contacts (internal and external).

Compensation & Benefits:

  • Base salary: CAD $65,000 per year
