Happier Job Description: Music & Culture Coordinator – Admin

Position Overview The Music & Culture Coordinator – Admin provides critical administrative and operational support to the Music & Culture team, helping to ensure the successful execution of programming across all venues. This role supports contracts, budgeting, ticketing, and artist payments while coordinating closely with internal teams and external partners to keep the department organized and on track.

Key Responsibilities

● Manage contracting processes and maintain contract tracking systems

● Create, track, and reconcile event budgets and P&Ls

● Process artist payments and coordinate with finance and accounting

● Maintain accurate BEO (Banquet Event Order) calendars and event info across platforms

● Maintain internal calendars for key programming and financial dates

● Liaise with artist teams on logistics including travel, hospitality, and deliverables

● Organize documentation for work permits, visas, and tax requirements

● Support Music & Culture events onsite and coordinate wrap reports post-show

Collaboration Touchpoints

● Weekly meetings with the Music & Culture Director

● Direct collaboration with: ○ Finance Team: Payments, coding, and reconciliation

Production Team: Technical rider needs and advancing

Operations Team: Event scheduling and cross-functional support

Tools You'll Use

TripleSeat – BEO and event coordination

Prism – Booking holds, artist tracking

Sage – Budgeting and financial reconciliation

Monday.com – Administrative task tracking

Google Workspace – Documentation and communications

Qualifications

● 3+ years experience in music/event production or venue operations

● Deep organizational skills and strong attention to detail

● Familiarity with contracting, artist payments, and box office systems

● Excellent communication skills and team collaboration

● Proficiency in Google Workspace, TripleSeat, Prism, Monday.com

Role Success Indicators (30-60-90 Day Goals)

● Accurately manage budgets, contracts, and settlements for multiple events

● Deliver timely artist payments and maintain finance alignment

● Confidently manage advancing tasks and production communications
