Job Description

Job Summary:

The Claim Support Administrator to the Director of Adjusting plays a critical role in the efficient communications between the Director of Adjusting and Adjuster Operations Department (AOD). This position provides administrative and clerical support to the Director as well as outside claim adjusters and management, ensuring that insurance claims are processed accurately, efficiently, and in compliance with company policies and regulatory requirements. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.

Key Responsibilities:
  • Accurately input and update claim information in the claims management system.

  • Review incoming claim documents for completeness and route them to the appropriate adjusters or teams.

  • Generate correspondence, such as letters, reports, and system updates, as requested by the Director or AOD Team.

  • Provide day-to-day administrative support to the Director of Adjusting

  • Respond to routine inquiries from policyholders, adjusters, and third-party providers regarding claim status or required documentation.

  • Monitor deadlines and follow up on outstanding tasks to support timely claims resolution.

  • Coordinate mail, email, and document distribution related to claims processing.

  • Ensure compliance with internal procedures and industry regulations (e.g., data protection, privacy laws).

  • Support special projects and process improvement initiatives as needed.

Required Qualifications:
  • High school diploma or equivalent required; associate degree or insurance-related experience is a plus.

  • 1–2 years of administrative experience.

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).

  • Strong attention to detail and high level of accuracy in data entry and documentation.

  • Excellent communication and organizational skills.

  • Ability to manage confidential information with discretion and professionalism.

Preferred Qualifications:
  • Customer service experience, especially in a regulated or client-facing environment.

Working Conditions:
  • Office-based, in person only

  • Standard working hours, 8:30am-5:00pm with some opportunity for overtime on occasion

  • May involve handling high volumes of claim data and tight deadlines.
