About the Role

We’re looking for a dedicated Float Pool and Education Coordinator to join our team and help us continue delivering the level of care our patients and families deserve. In this role, the Float Pool and Education Coordinator is responsible for the leadership, coordination, and day-to-day operations of the Saratoga Hospital Medical Group (SHMG) Float Pool and serves as a key support resource for ambulatory clinical education initiatives across the medical group. Working collaboratively with the Director of Nursing Practice, practice leaders, Human Resources, and the Ambulatory Clinical Educator, this position provides supervision and oversight of float pool staff, ensures appropriate staffing support across SHMG practices, and promotes excellence in clinical practice, staff development, and patient care. Responsibilities include staff scheduling and deployment, competency oversight, performance management, communication, quality and compliance monitoring, educational program coordination, orientation and onboarding support, and assistance with float pool budget monitoring. This position works closely with practice leadership and the Ambulatory Clinical Educator to ensure float pool staff are prepared to safely and effectively meet the operational and clinical needs of the practices they support.

In addition, the SHMG Float Pool and Education Coordinator assists in the coordination of clinical education activities for SHMG staff, including new employee orientation, onboarding, competency validation, annual education requirements, competency fairs, and other staff development initiatives. The coordinator provides administrative and operational support for educational programs, maintains training and competency records, coordinates educational logistics and scheduling, and collaborates with leadership to support regulatory compliance, workforce development, and organizational goals.

What You’ll Do

Float Pool Operations: Responsible for the daily oversight and coordination of float pool staff in collaboration with the Director of Nursing Practice. Develops and maintains the float pool schedule based on organizational needs, staffing availability, and practice priorities. Coordinates daily float assignments and adjusts staffing as necessary to support changing operational needs. Assists with administrative and clinical coverage across the medical group as needed.

Practice Collaboration and Communication: Collaborates routinely with practice leaders and the Director of Nursing Practice to identify staffing needs, address concerns, and ensure float pool staff meet established expectations. Maintains routine visibility within the practices to engage with practice leaders and float staff, provide support, and identify operational or staffing needs. Serves as a liaison between the float pool, practice leadership, clinical education, and the Director of Nursing Practice while working within the practices. Maintains timely and effective communication with float pool staff regarding scheduling, operational changes, expectations, policies, procedures, and other pertinent information. Serves as a primary point of contact for day-to-day float pool operations and escalates concerns as appropriate.

Quality, Compliance and Auditing: Conducts routine audits and chart reviews to evaluate compliance with organizational policies, procedures, documentation standards, regulatory requirements, and established workflows. Identifies opportunities for improvement and provides education, coaching, and follow-up as appropriate. Communicates significant findings or trends to the Director of Nursing Practice and collaborates on corrective actions and improvement plans.

Staff Competency, Orientation, and Development: Responsible for developing and coordinating orientation and training plans for newly hired float pool staff to ensure successful onboarding and preparation for assignments throughout the medical group. Collaborates with the Ambulatory Clinical Educator to ensure completion and maintenance of required clinical competencies. Identifies educational and training needs and works collaboratively with the Director of Nursing Practice, Ambulatory Clinical Educator, and practice leaders to support ongoing staff development.

Human Resources Management: Works in collaboration with the Director of Nursing Practice and Human Resources in recruitment, interviewing, hiring, onboarding, evaluation, performance management, corrective action, and termination processes for float pool staff. Provides ongoing feedback regarding employee performance and addresses performance, behavioral, attendance, and competency concerns in a timely manner. Completes and/or contributes to employee performance evaluations within established timeframes.

Timekeeping and Attendance: Responsible for timely and accurate review and completion of Kronos/timekeeping for float pool staff. Monitors attendance, scheduled hours, overtime, and timekeeping accuracy. Addresses discrepancies and communicates attendance or performance concerns to the Director of Nursing Practice as appropriate.

Financial Management: Assists the Director of Nursing Practice with monitoring and management of the float pool budget. Monitors staff utilization, overtime, productivity, and other expenses to support responsible use of organizational resources.

Scheduling and Staffing Coordination: Maintains oversight of current and anticipated staffing needs across the medical group. Coordinates float pool resources based on vacancies, leaves, callouts, practice needs, and other operational priorities. Collaborates with practice leaders and the Director of Nursing Practice to prioritize coverage when staffing resources are limited and communicates staffing concerns in a timely manner.

Education Coordination: Coordinates and supports ambulatory education activities across Saratoga Hospital Medical Group in collaboration with the Ambulatory Clinical Educator and Director of Nursing Practice. Assists with the planning, coordination, scheduling, and administration of new employee orientation programs, clinical onboarding activities, competency validation processes, annual education requirements, and other staff development initiatives. Coordinates logistics for competency fairs, including scheduling, communication, documentation, tracking of participant completion, and preparation of educational materials. Maintains education records and competency tracking tools to ensure compliance with organizational, regulatory, and accreditation requirements. Assists with preparation, organization, and distribution of educational resources, training materials, policies, workflows, and communication related to educational initiatives. Collaborates with practice leaders to identify educational needs and support implementation of training activities throughout the medical group. Provides administrative and operational support to the Clinical Education team and assists with special projects, educational events, and other responsibilities as assigned.

  • Participates in leadership meetings and organizational initiatives as appropriate.
  • Assists the SHMG Clinical Education team with administrative and operational responsibilities including orientation coordination, onboarding support, competency fair planning and coordination, education tracking and documentation, scheduling of educational activities, preparation of training materials, and support of ongoing staff development initiatives.
  • Provides front desk and practice support as needed based on operational needs.
  • Supports the Director of Nursing Practice with float pool initiatives and operational priorities.
  • Supports implementation and reinforcement of organizational policies, procedures, workflows, and regulatory requirements.
  • Promote teamwork, professionalism, accountability, flexibility, and collaboration among float pool staff.
  • Assists with development and implementation of processes to improve float pool efficiency and effectiveness.
  • Serves as a resource to float pool staff and practice leadership.
  • Maintains confidentiality and ensures compliance with organizational and regulatory requirements.
  • Performs other duties as assigned.

What You Bring

  • Associates degree in related field required with at least three (3) years minimum in physician practice or health related setting, one (1) years in a supervisory role.
  • High school diploma or GED with at least five (5) years of progressive supervisory experience in a physician practice may be considered.
  • Knowledge of applicable regulatory standards
  • Knowledge of all aspects of physician practice management
