Job Overview
The Safety Administrative Assistant provides essential administrative support to the Construction Safety Manager and the broader safety team. This role focuses on maintaining accurate safety documentation, coordinating compliance activities, and ensuring timely communication across field and office personnel. By managing records, reports, and training documentation, the Safety Administrative Assistant helps uphold company safety standards and regulatory requirements.
This hybrid part-time position is primarily administrative, with the flexibility to work in the Roswell office one day per week and occasional coordination with field staff and office personnel.
Duties
Safety Documentation & Recordkeeping
- Maintain and organize safety files, including training records, certifications, inspection reports, and safety meeting documentation
- Track employee safety certifications such as OSHA training, equipment certifications, and site-specific requirements
- Ensure safety documentation is current and compliant with company and regulatory standards
- Maintain electronic and physical safety records
Reporting & Compliance Support
- Assist with incident reports, near-miss documentation, and accident investigations
- Compile safety data for internal reports and management review
- Track corrective actions from safety audits and inspections
- Assist with various safety, driving, and OSHA logs, along with compliance documentation
Training & Safety Meetings
- Schedule safety orientations, toolbox talks, and training sessions
- Track attendance and maintain training logs
- Prepare safety training materials and meeting documentation
Site Coordination
- Communicate with field supervisors regarding safety documentation requirements
- Coordinate the collection of safety paperwork from job sites
- Assist with distributing safety alerts, policy updates, and compliance notices
Administrative Support
- Provide general administrative support to the Safety Manager
- Manage calendars, meetings, and travel if required
- Order safety supplies and PPE when needed
- Assist with onboarding paperwork related to safety requirements
Qualifications
- High school diploma or equivalent required; associate degree preferred
- 2+ years of administrative experience, preferably in construction, safety, or industrial environments
- Familiarity with OSHA standards and safety documentation is preferred
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong organizational and record-keeping skills
- Bilingual preferred, but not required

Work Environment
