About the Role
We’re looking for a dedicated Executive Assistant to join our team and help us continue delivering the level of care our patients and families deserve. In this role, you’ll be a vital part of our administrative team, ensuring excellent service, collaboration, and patient outcomes in a fast-paced healthcare environment. As the Executive Assistant, you will provide executive administrative support for Vice President/CFO and their leadership team members as appropriate. You will manage the office functions for assigned executives ensuring effective communication, and organization to allow the executives to effectively execute strategies and provide leadership to their assigned areas. The Executive Assistant carries out all functions with an emphasis on confidentiality and effective problem resolution. This position serves as a key liaison between finance, executive leadership, Board committees, external auditors, banking partners and other stakeholders.
The Executive Assistant manages the CFO’s calendar, coordinates Board Finance Committee activities, supports budget and capital planning processes, prepares executive-level communications and presentations, and assists with special projects. The position requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced healthcare environment.
What You’ll Do
- Manage and coordinate the CFO’s calendar, meetings, travel and speaking engagements.
- Anticipate scheduling conflicts and proactively resolve competing priorities.
- Prepare correspondence, reports, presentations, and executive communications on behalf of the CFO
- Screen and prioritize requests for the CFO’s attention.
- Coordinate Finance leadership meetings, retreats and strategic planning sessions.
- Track action items and follow-up activities from executive meetings.
- Board and Committee Support
- Serve as administrative liaison for the Board Finance Committee, Audit Committee, Investment Committee and other committees as assigned.
- Coordinate meeting schedules, agendas, materials and minutes.
- Prepare and distribute Board packets and supporting financial documentation.
- Maintain committee records and archives in accordance with organizational governance requirements.
- Coordinate onboarding and orientation materials for new committee members as needed
- Financial Operations Support
- Assist with preparation and distribution of monthly financial reporting packages.
- Coordinate annual operating and capital budget calendar activities.
- Support year-end audit preparation and auditor information requests.
- Track capital project approvals and maintain capital expenditure logs.
- Assist with preparation of presentations related to budget, finance, reimbursement, strategic planning, and Board reporting.
- Coordinate contract routing, invoice approvals and departmental administrative functions as assigned.
- Project Management Support
- Track milestones, deliverables and deadlines for Finance initiatives.
- Coordinate meetings and communications for system wide finance projects.
- Prepare status reports and maintain project documentation.
- Deliver compassionate, patient-centered care in alignment with Saratoga Hospital values
- Collaborate with interdisciplinary teams to support health, healing, and service excellence
- Perform administrative responsibilities with a focus on safety, quality, and efficiency
- Use hospital systems and tools to document care and support operations
- Continuously seek opportunities to improve processes and support patient and staff satisfaction
- Serve as a positive, professional representative of our hospital and community
What You Bring
- Associates Degree minimum, Bachelors Degree preferred. Minimum of 5 years in progressive levels of administrative and/or executive support roles and responsibilities. Minimum three years supporting senior executives. Experience supporting Board committees and governance activities preferred.
