POSITION SUMMARY
The Facilities & Business Operations Receptionist serves as a primary point of contact for the CIIS community and visitors. This position provides exceptional customer service by welcoming guests, answering and directing incoming calls, and assisting students, faculty, staff, vendors, and community members.
The Facilities & Business Operations Receptionist supports the daily operations of the Facilities & Business Operations department by managing mail and package distribution, maintaining reception areas, and providing general administrative and operational support while creating a welcoming and professional environment. This position may also provide reception coverage at multiple campus locations and administrative support throughout the Facilities & Business Operations department as operational needs require.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greet visitors, students, faculty, staff, vendors, and community members in a professional and welcoming manner.
- Operate the University's main telephone system by answering, screening, and directing incoming calls.
- Respond to general inquiries and direct individuals to the appropriate department or staff member.
- Provide reception and front desk coverage at multiple campus locations as operational needs require.
- Receive, sign for, and distribute incoming mail, packages, and deliveries, including preparing and processing outgoing FedEx and other shipping requests.
- Sort and distribute incoming and outgoing mail, faxes, and internal correspondence.
- Maintain faculty and staff mailboxes.
- Maintain organized, clean, and professional front desk and reception areas.
- Restock office supplies, copier paper, and front office materials as needed.
- Maintain campus first aid kits and coordinate replenishment when necessary.
- Manage and organize the campus Lost and Found.
- Provide general administrative and clerical support to Facilities & Business Operations.
- Provide administrative support to the Facilities & Business Operations department, including filing, scanning, data entry, document preparation, and other general office support.
- Assist with departmental administrative tasks and operational support as assigned.
- Maintain awareness of campus resources and institutional updates to provide accurate information to the CIIS community.
- Follow established emergency procedures and communicate urgent situations to appropriate personnel or emergency services.
- Report safety concerns, hazards, or incidents to Facilities & Business Operations and the Clery Team.
- Work collaboratively with departments across the University to provide exceptional customer service.
- Support campus-wide customer service initiatives by assisting students, faculty, staff, vendors, and visitors across multiple Facilities & Business Operations functions.
- Perform other duties and special projects as assigned.
Job Requirements:
MINIMUM QUALIFICATIONS
- High school diploma or equivalent required.
- Two (2) years of receptionist, customer service, administrative support, or related experience preferred.
- Experience operating a multi-line telephone system preferred.
- Basic proficiency with Microsoft Office Suite and email applications.
- Ability to communicate effectively with diverse populations.
- Ability to organize work, manage competing priorities, and meet deadlines.
ENVIRONMENTAL DEMANDS
This position operates in a collaborative, on-campus environment with frequent interaction with students, faculty, staff, visitors, and vendors. The role requires managing multiple responsibilities in busy reception and front desk environments with frequent interruptions while maintaining professionalism and providing excellent customer service.
The position may be required to provide coverage at different reception or service areas on campus based on departmental and operational needs.
PHYSICAL ABILITIES
- Ability to sit or stand for extended periods of time.
- Ability to frequently use a computer, keyboard, telephone, and other office equipment.
- Ability to lift and carry packages, office supplies, or equipment up to 25 pounds.
- Ability to bend, reach, walk, and move throughout campus as needed.
LOCATION
100% on-campus position located at the California Institute of Integral Studies campus in San Francisco, California.
Work Schedule: Regular schedule is Monday-Friday, 8:00 a.m. to 4:00 p.m.; however, flexibility to work evenings and weekends as operational needs require.
Additional Information:
WAGES AND BENEFITS
$22.00 - $23.00

- Working Conditions Duties are primarily performed in an office environment at a desk or computer terminal, typically Monday through Friday.
- Background Check Due to the sensitivity and requirements of this position, you should expect to undergo and be cleared of an employment background/criminal check, if extended an offer for employment. You may also be asked to provide proof of educational degree(s), licenses, or credentials pertinent to the position. If your job requires driving on behalf of CIIS you will be required to provide proof of a valid driver's license.
