What You'll Do

As a Front Desk Coordinator, you'll play a vital role in creating an exceptional guest experience while supporting the daily success of the clinic. You'll serve as the central point of communication for guests, providers, and the clinic team, ensuring every interaction reflects the Face Forward Standard.

Create Exceptional Guest Experiences

  • Welcome every guest with warmth, professionalism, and genuine hospitality.
  • Create a seamless experience from check in through checkout.
  • Answer incoming calls and respond to guest inquiries by phone, text, and email.
  • Schedule, confirm, and coordinate appointments while optimizing provider schedules and clinic flow.
  • Verify guest intake forms and consents are complete and maintain accurate guest records.
  • Resolve routine guest concerns with professionalism and escalate complex issues when appropriate.
  • Protect guest privacy by maintaining HIPAA compliance in every interaction.

Support Clinic Growth

  • Keep provider schedules full by actively managing waitlists, appointment confirmations, cancellations, and no-show follow up.
  • Guide guests through checkout and confidently explain memberships, promotions, skincare products, and treatment recommendations.
  • Enroll guests in membership programs and educate them on the benefits available.
  • Recommend retail products that complement provider treatment plans.
  • Help guests maintain continuity of care by scheduling their next appointment before they leave.
  • Contribute to clinic performance by achieving membership enrollment, retail, and pre booking goals.

Deliver Operational Excellence

  • Maintain a welcoming, organized, and professional Front-of-House environment.
  • Complete opening and closing procedures and ensure reception and retail areas consistently reflect our premium brand.
  • Process guest payments, deposits, gift card transactions, and daily financial transactions accurately.
  • Consistently apply cancellation, no show, and payment policies with professionalism and confidence.
  • Support inventory activities, supply management, documentation, and administrative tasks that contribute to efficient clinic operations.

Collaborate as One Team

  • Partner closely with providers, estheticians, and the Market Manager to create a seamless guest journey.
  • Execute the Face Forward Standard and uphold company policies, procedures, and compliance requirements.
  • Participate in ongoing training and development while contributing to a positive, collaborative clinic culture.
  • Help create an environment where every guest receives an exceptional experience and every team member contributes to the success of the clinic.

What We're Looking For

We're looking for individuals who are passionate about service and love helping people feel confident and cared for.

Ideal candidates have a minimum of one year experience in:

  • Luxury hospitality
  • Medical aesthetics
  • Healthcare
  • Concierge services
  • Luxury retail
  • High end customer service

You should also bring:

  • Exceptional communication and interpersonal skills.
  • Strong organization and attention to detail.
  • Confidence recommending products, memberships, and services.
  • A positive, team first mindset.
  • The ability to thrive in a fast paced, goal driven environment.
  • Experience with scheduling software, CRM, EMR, or point of sale systems is a plus.
