The Assistant Project Manager supports the successful execution of outside electrical construction projects at Hinson Electric, a GreenArrow company; coordinating administrative functions, tracking project documentation, and assisting the Project Manager and field team with scheduling, reporting, and compliance. This role is the organizational backbone of the project team; ensuring the smooth flow of information between the office, field crews, clients, vendors, and subcontractors. How You’ll Make An Impact

Project Administration & Documentation

  • Daily Support: Assist Project Managers with daily administrative tasks related to active outside electrical construction projects; serve as a reliable, organized point of support for the project team.
  • Documentation Management: Prepare, maintain, and organize project documentation including contracts, change orders, RFIs, submittals, and job packets; ensure all documentation is current, accurate, and properly filed in both digital and physical formats.
  • Records Management: Maintain accurate employee and subcontractor time records, equipment logs, and material delivery records.

Scheduling & Reporting

  • Schedule Tracking: Track and manage project schedules, procurement timelines, and work progress reports; identify potential delays and communicate them to the Project Manager proactively.
  • Meetings: Coordinate and schedule project meetings; prepare agendas and distribute meeting minutes to all relevant parties in a timely manner.
  • Job Cost Support: Support job cost tracking; assist with invoice processing and reconciliation in coordination with the accounting team.

Compliance & Permits

  • Permits & Safety Documentation: Assist with the preparation and submission of permits, safety meeting documentation, and compliance reports; ensure all required documentation is submitted accurately and on time.

Communication & Field Coordination

  • Stakeholder Communication: Communicate professionally with clients, vendors, utility companies, and inspectors; represent Hinson Electric with professionalism and responsiveness in every interaction.
  • Field Collaboration: Collaborate closely with field crews to support operational needs and resolve administrative issues; serve as a reliable bridge between the office and the job site.
  • Confidentiality: Maintain strict confidentiality of all sensitive employee and project-related information.

What You Bring

Education & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field preferred.
  • 2+ years of administrative experience in construction or a similar industry; electrical or utility construction experience strongly preferred.

Knowledge, Skills & Abilities

  • Strong organizational skills and exceptional attention to detail; able to manage multiple concurrent tasks without letting anything slip.
  • Proficiency with Microsoft Office Suite including Word, Excel, and Outlook required; experience with project management software such as Procore or Viewpoint preferred.
  • Strong written and verbal communication skills; professional and responsive with clients, vendors, and field personnel.
  • Ability to prioritize tasks and work independently in a fast-paced project environment.
  • Familiarity with outside electrical construction processes, terminology, and safety protocols is a strong plus.
