Payment Posting Manager

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Payment Posting Manager based in the United States.

This is a leadership opportunity within a physician revenue cycle management environment, overseeing a team responsible for accurate and timely payment processing.
You will play a critical role in maintaining financial accuracy, operational efficiency, and strong service delivery for clients.
The position combines people leadership with hands-on oversight of payment posting, reconciliation, reporting, denials, and aged claims.
You will establish performance standards, coach team members, and continuously improve workflows and quality processes.
The role also serves as an escalation point for complex issues and requires close collaboration across account management and operational teams.

This is a full-time, exempt position reporting to the VP of Physician RCM.

Accountabilities
  • Team Leadership: Lead, train, supervise, and develop the payment posting team, establishing clear expectations for productivity, quality, accuracy, and service.
  • Payment Processing: Oversee the download and posting of electronic and manual insurance and patient payments, ensuring transactions are complete, accurate, and processed within established timelines.
  • Reconciliation & Controls: Monitor and balance daily, weekly, and monthly payment activity across the team, identifying and resolving discrepancies promptly.
  • Reporting: Review and approve monthly client spreadsheets and related reporting to ensure accuracy and completeness.
  • Workflow Management: Ensure timely folder closure and effective resolution of outstanding payment-related items.
  • Denials & Aged Claims: Oversee the management of denials and aged claims, ensuring team members follow established procedures and timelines.
  • Performance Management: Establish and monitor team productivity and quality standards, conduct performance reviews, and provide ongoing coaching and feedback.
  • Process Improvement: Identify operational inefficiencies and implement best practices, tools, and workflows that improve accuracy, productivity, and scalability.
  • Issue Resolution: Act as an escalation point for complex payment posting challenges and develop appropriate resolutions.
  • Client Collaboration: Partner with RCM Account Managers and other departments to address client requirements, investigate discrepancies, and maintain strong service relationships.
  • Communication: Lead and participate in departmental and staff meetings, providing updates, reinforcing priorities, and supporting team alignment.
  • Additional Projects: Take on other operational initiatives and projects as needed to support department and business objectives.
Requirements
  • Experience: 5+ years of payment posting experience, including at least 3 years in a lead, supervisory, or management capacity.
  • Healthcare RCM Expertise: Strong knowledge of medical billing, insurance practices, payment posting procedures, and physician revenue cycle operations.
  • Leadership: Previous experience supervising or leading teams in a healthcare RCM or billing environment is strongly preferred.
  • Systems: Hands-on experience with NextGen Enterprise Practice Management is required.
  • Communication: Strong written and verbal communication skills, with the ability to provide clear direction, coaching, and client-facing support.
  • Organization: Excellent organizational and time-management abilities, with strong attention to detail and accuracy.
  • Customer Service: Demonstrated ability to manage client relationships professionally and respond effectively to client needs and concerns.
  • Problem Solving: Ability to investigate discrepancies, resolve complex payment issues, and make sound decisions in a timely manner.
  • Work Style: Comfortable working independently while also leading, supporting, and collaborating with a team.
  • Adaptability: Ability to remain effective in a fast-paced and occasionally stressful environment while managing competing priorities.
  • Physical Requirements: Ability to work for prolonged periods at a desk and computer and occasionally lift or carry items weighing up to 10 pounds.
