Job Description

Reproductive Medicine Coordinator

Make an impact behind the scenes in a role that helps patients move confidently through their fertility journey.

At RMA Northern California, soon to become Everleap Fertility, we're looking for a highly organized professional who thrives on managing details, solving problems, and ensuring nothing falls through the cracks. As a Reproductive Medicine Coordinator, you'll partner closely with physicians, nurses, laboratory staff, and patients to keep treatment plans moving forward efficiently and accurately.

This position is ideal for someone who enjoys reviewing medical information, tracking critical milestones, coordinating across multiple teams, and serving as a central point of communication within a fast-paced healthcare environment.

Location: San Francisco, CA
Schedule: Monday-Friday | 8:00 AM-4:00 PM

About the Role

As a Reproductive Medicine Coordinator, you'll play a vital role in supporting patient treatment plans from start to finish. You'll help ensure that laboratory results, medical records, authorizations, and treatment-related information are reviewed, documented, and communicated appropriately so patients can move seamlessly through their care plan.

While patient interaction is an important part of the role, this is primarily a coordination and administrative position rather than a direct patient care role.

Key Responsibilities
  • Coordinate treatment-related activities among providers, nursing staff, laboratory personnel, and patients
  • Track and manage laboratory testing, diagnostic results, and required documentation
  • Review medical records and patient files for accuracy, completeness, and follow-up needs
  • Identify missing information and proactively obtain records, results, or approvals needed to support patient care
  • Communicate treatment updates, requirements, and next steps to patients and internal teams
  • Monitor patient progress throughout various phases of fertility treatment
  • Maintain detailed and accurate documentation within the electronic medical record (EMR)
  • Prioritize multiple cases simultaneously while ensuring deadlines and patient needs are met
  • Support operational efficiency through strong organization, follow-through, and attention to detail
Qualifications

We're interested in professionals who excel at coordinating complex information and working collaboratively across healthcare teams.

Preferred Background:

  • Experience in healthcare coordination, patient services, medical administration, clinical research, laboratory operations, or a related healthcare setting
  • Ability to analyze and interpret medical records, test results, and healthcare documentation
  • Strong organizational and time-management skills
  • Excellent verbal and written communication abilities
  • Proven ability to manage competing priorities in a fast-paced environment
  • Strong critical-thinking and problem-solving skills
  • Experience working within an EMR or healthcare documentation system preferred
  • Interest in reproductive medicine, women's health, or fertility care
