SCOPE:
The Front Desk Office Receptionist will serve as the first point of contact for homeless applicants, visitors, employees, and community partners. This position provides administrative and customer service support by answering and directing telephone calls, greeting visitors, managing incoming mail and deliveries. The position contributes to Goodwill's mission by delivering professional, courteous service while following established policies, procedures, and confidentiality standards.
ESSENTIAL FUCTIONS:
- Answer, screen, and direct incoming telephone calls; provide accurate information or route calls to the appropriate staff member or voicemail.
- Welcome applicants, visitors, vendors, service providers, and other guests in a professional manner; notify appropriate staff of arrivals and maintain visitor sign-in procedures.
- Respond to general inquiries and provide information consistent with organizational policies and procedures.
- Receive, sort, and distribute incoming mail, packages, courier deliveries, and electronic faxes to the appropriate departments or individuals.
- Maintain records of lobby visitors, walk-in participants, parking passes, and other assigned administrative logs.
- Provide initial support by responding appropriately to individuals experiencing crisis situations and promptly notifying designated staff in accordance with established procedures.
- Maintain and update organizational telephone directories, fax listings, and contact information.
- Prepare correspondence, forms, reports, spreadsheets, and other documents using Microsoft Office applications or other approved software.
- Perform filing, copying, scanning, data entry, and other routine clerical duties.
- Coordinate meal orders as assigned.
- Assist with departmental administrative projects and perform other related duties as assigned to support business operations.

MINIMUM QUALIFICATIONS:
Required
- High school diploma or equivalent.
- One (1) year of receptionist, administrative support, customer service, or related experience, or an equivalent combination of education and experience.
Preferred
- Experience in a nonprofit, human services, healthcare, or social services environment.
- Experience working with diverse populations.
KNOWLEDGE AND SKILLS:
- Proficiency using Microsoft Word, Excel, Outlook, and other standard office software.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to communicate professionally with individuals from diverse backgrounds.
- Ability to establish and maintain effective working relationships with employees, participants, donors, vendors, and the public.
- Ability to remain calm and professional while managing frequent interruptions and changing priorities.
- Strong organizational skills and attention to detail.
- Ability to follow written and verbal instructions with minimal supervision.
- Ability to maintain accurate records and documentation.
- Ability to maintain confidentiality and exercise sound judgement.
WORK ENVIRONMENT:
- Primarily performed in a professional office environment.
- Frequent interaction with applicants, employees, visitors, vendors, and members of the public.
- Frequent interruptions and multiple competing priorities.
- May occasionally interact with individuals experiencing emotional distress or crisis situations.
PHYSICAL REQUIREMENTS:
- Remain in a stationary position for extended periods while performing computer and telephone work.
- Frequently operate a computer, telephone, copier, scanner, and other standard office equipment.
- Frequently communicate with applicants, employees, and visitors; must be able to exchange accurate information in person, by telephone, and electronically.
- Occasionally move about the office to greet visitors, retrieve documents, or distribute mail.
- Occasionally move or transport office materials and packages weighing up to 20 pounds.
- Occasional travel.
