Release of Information Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Release of Information Specialist based in the United States.

This remote role is focused on accurately and securely processing requests for medical records while protecting sensitive patient information. You will play an important part in ensuring healthcare clients and authorized requestors receive the appropriate records within required timeframes. The position combines detailed administrative work, privacy compliance, quality control, and responsive communication. You will work with electronic and physical medical records while following HIPAA requirements, client procedures, and applicable regulations. Success in this role requires strong attention to detail, consistent productivity, and sound judgment when handling confidential information. It is well suited to a dependable and organized professional who can work independently while collaborating effectively with healthcare and internal teams.

Accountabilities:
  • Process assigned Release of Information requests accurately, efficiently, and within established turnaround times, with primary responsibility for Continuing Care and Disability Determination Services requests.
  • Access and process medical records according to client-specific procedures, security protocols, authorization requirements, and applicable privacy regulations.
  • Validate requests and patient authorizations to ensure compliance with HIPAA, federal and state requirements, and established procedures.
  • Correctly classify requests and enter all required information into the Release of Information system.
  • Retrieve and upload the appropriate portions of electronic or physical patient medical records.
  • Perform quality-control reviews before releasing records to ensure accuracy, completeness, and protection of Protected Health Information (PHI).
  • Verify invoices and billing information, make appropriate adjustments, and prepare billing materials for clients.
  • Release records only to valid and authorized requesting entities and reject requests that do not meet applicable requirements.
  • Return physical records to their proper storage location in accordance with established procedures.
  • Document exceptions, communications, actions, and other relevant information in the appropriate systems.
  • Respond to requestor inquiries professionally, respectfully, and efficiently.
  • Escalate questionable or unusual requests, suspected privacy breaches, connectivity issues, equipment malfunctions, security concerns, and circumstances that could delay record fulfillment.
  • Maintain accurate and up-to-date client information and ensure records and files are stored securely.
  • Support additional healthcare facilities or request types as needed, particularly during periods of increased workload or backlogs.
  • Adapt to changing healthcare facility assignments and work requirements, including remote or on-site responsibilities when applicable.
  • Maintain strict confidentiality, ethical standards, and security practices when handling privileged and sensitive information.
  • Complete required training within established timelines and comply with applicable organizational, healthcare facility, HIPAA, federal, state, and labor requirements.
  • Maintain appropriate office and technical resources needed to perform assigned responsibilities.
  • Perform additional duties and support operational priorities as assigned.
Requirements:
  • High school diploma or GED required; a college degree is preferred.
  • Previous experience processing Release of Information requests is preferred.
  • Basic knowledge of medical records and HIPAA requirements is preferred.
  • Previous experience working with EHR/EMR platforms is preferred.
  • Experience using Windows-based systems and Microsoft Office applications.
  • Strong computer skills and comfort working with digital records and administrative systems.
  • Demonstrated attention to detail and ability to maintain accuracy when handling sensitive information.
  • Strong organizational and prioritization skills, with the ability to manage multiple requests and meet deadlines.
  • Ability to maintain consistent productivity and quality while working independently and staying focused for extended periods.
  • Strong documentation, written, verbal, and interpersonal communication skills.
  • Ability to interact professionally with team members, healthcare clients, requestors, and other stakeholders.
  • Ability to exercise sound judgment and discretion when working with confidential and protected health information.
  • Familiarity with office equipment such as printers, computers, fax machines, scanners, and microfilm reader/printers is preferred.
  • Self-motivated, dependable, detail-oriented, and comfortable following established procedures and security protocols.
  • Ability to read, write, speak, and comprehend English.
  • Bilingual communication skills are desirable.

  • Hourly compensation of $15.00 per hour.
