About the Role:

The Front Desk Representative in the healthcare and social assistance industry serves as the primary point of contact for patients, visitors, and staff, ensuring a welcoming and efficient experience. This role is critical in managing patient flow, scheduling appointments, and maintaining accurate electronic records to support clinical and administrative operations. The representative facilitates communication between patients and healthcare providers, addressing inquiries and resolving issues promptly and professionally. By managing electronic records with precision, the Front Desk Representative helps maintain compliance with healthcare regulations and supports the overall quality of patient care. Ultimately, this position contributes to the smooth operation of the facility by combining excellent customer service with meticulous administrative support.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proficiency in electronic records management, particularly with healthcare-related software or EHR systems.
  • Strong communication and interpersonal skills.
  • Basic knowledge of medical terminology and healthcare office procedures.
  • Ability to maintain patient confidentiality and adhere to HIPAA guidelines.

Preferred Qualifications:

  • Previous experience working in a healthcare or social assistance setting.
  • Familiarity with insurance verification and billing processes.
  • Certification in medical office administration or related field.
  • Experience with specific EHR platforms such as Epic, Cerner, or Meditech.
  • Bilingual abilities to assist a diverse patient population.

Responsibilities:

  • Greet and assist patients and visitors upon arrival, providing clear directions and information about services.
  • Manage patient check-in and check-out processes efficiently, including verifying insurance and collecting necessary documentation.
  • Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
  • Maintain and update electronic patient records accurately, ensuring confidentiality and compliance with HIPAA regulations.
  • Coordinate communication between patients, healthcare providers, and administrative staff to facilitate seamless service delivery.
  • Handle incoming phone calls and respond to inquiries or direct calls to appropriate personnel.
  • Process billing information and assist with insurance claims as needed.
  • Ensure the front desk area is organized, professional, and stocked with necessary materials.
  • Other duties as assigned.

The required skill of electronic records management is essential for accurately entering, updating, and retrieving patient information daily, ensuring data integrity and compliance with healthcare regulations. Strong communication skills enable the representative to interact effectively with patients and staff, providing clear information and empathetic support.
