As an Executive Virtual Assistant, you will provide high-quality operational and administrative support to business owners and founders across a range of industries. You will work directly with a select portfolio of clients, helping them stay organized, execute projects, and move important priorities forward. The role combines executive assistance, project coordination, research, communication, and day-to-day business support. You will have the autonomy to assess challenges, recommend solutions, and execute work with minimal oversight. With a flexible schedule and a fully remote environment, you will manage multiple client relationships while adapting to different working styles and priorities. - Manage and execute projects and operational tasks on behalf of assigned clients, taking ownership from start to completion.
- Provide a broad range of virtual assistant and executive support services, including scheduling, email management, lead conversion, research, data entry, and administrative coordination.
- Manage competing priorities effectively, maintain strong time-management practices, and consistently meet deadlines and agreed project turnaround times.
- Adapt quickly to changing client priorities, needs, processes, and deadlines while using each client's business values and established practices as a guide.
- Communicate confidently and professionally with clients across different personalities, communication styles, and business environments.
- Assess open-ended problems independently, identify appropriate courses of action, recommend practical solutions, and implement them with minimal oversight.
- Coordinate multiple projects and workflows simultaneously while maintaining accuracy, responsiveness, and a high standard of service.
- Use web-based business applications and AI tools thoughtfully to improve efficiency, research, organization, and execution.
- Learn new platforms, systems, and client processes quickly and independently.
- Maintain proactive communication with clients to ensure expectations, priorities, and deliverables remain aligned.
- Support a portfolio of approximately 2–5 ongoing clients, with the ability to select which client opportunities best match your skills and availability.
- Must be based in the United States.
- High school diploma or equivalent required.
- Demonstrated professional experience in executive assistance, administrative support, operations, virtual assistance, project coordination, or a related field.
- A proven history of successful client work, freelance engagements, or comparable independent professional experience is strongly valued.
- Strong written and verbal communication skills, with the ability to adapt communication to different clients, priorities, and personalities.
- Highly organized and dependable, with excellent attention to detail and the ability to manage multiple deadlines simultaneously.
- Self-directed and entrepreneurial, with the confidence to solve problems, make recommendations, and execute without constant supervision.
- Strong project-management and prioritization skills, with the flexibility to respond effectively when circumstances change.
- Comfortable working independently in a fully remote environment.
- Technologically capable, with confidence using web-based applications and the ability to learn unfamiliar systems quickly.
- Thoughtful use of AI tools and modern technology to improve productivity and business workflows is expected.
- Reliable computer and strong, consistent internet connection required.
- Availability during weekdays is generally expected, with most client projects requiring turnaround within approximately 1–2 business days.
