Role Purpose

The Junior Retail Construction & Facilities Project Manager supports the delivery of new and evolving retail environments and helps keep Princess Polly stores safe, functional, and customer-ready. Reporting to the Director of Retail Construction, this role coordinates assigned project activities from kickoff through turnover, maintains project documentation and reporting, and supports consistent facilities practices across the growing retail fleet.

Organisational Contribution & Influence

This role supports collaboration across Retail Development and the broader business, working closely with Real Estate, Store Design, Finance, Retail Operations, Visual Merchandising, store leaders, and external project partners. By keeping information organized, following up on actions, and escalating risks promptly, the role helps projects and facilities work progress in line with brand standards, operational needs, budget expectations, and delivery timelines.

Key Responsibilities

  1. Component 1 -Retail Construction & Development
  • Support retail construction projects from kickoff through store turnover, including new store openings, remodels, relocations, refreshes, and capital improvements.
  • Maintain project schedules, trackers, budgets, scopes, risk logs, and action items under the guidance of the Director of Retail Construction.
  • Coordinate day-to-day communication, meetings, documentation, and follow-up with architects, engineers, general contractors, landlords, consultants, and vendors.
  • Partner with internal teams to gather requirements, communicate updates, and help projects stay aligned with Princess Polly brand and operational standards.
  • Conduct site visits to document progress, workmanship, quality, safety, and compliance; promptly escalate issues for direction and resolution.
  • Coordinate project closeout activities, including punch lists, turnover documents, warranty information, and handoff to Store Operations.
  • Maintain construction templates, records, and reporting tools, and recommend practical process improvements based on project learnings.
  1. Component 2 -Facilities Program Development & Management
  • Support the rollout and day-to-day administration of preventative maintenance activities across an assigned portfolio of retail stores.
  • Coordinate routine repair requests, preventative maintenance visits, vendor access, work-order updates, and urgent facilities needs in accordance with established procedures.
  • Maintain clear resources and instructions for store leaders and help answer questions regarding repair requests, vendor visits, and escalation processes.
  • Assist with emergency facilities issues by gathering information, contacting approved vendors, tracking progress, and escalating decisions to the appropriate leader.
  • Track recurring maintenance issues, service history, and open work orders; summarize trends and recommend follow-up actions.
  1. Component 3 - Vendor & Financial Management
  • Support vendor sourcing and onboarding by gathering quotes, maintaining vendor information, and coordinating required documentation.
  • Track construction and maintenance budgets, purchase commitments, invoices, forecasts, and supporting documentation; flag discrepancies or risks for review.
  • Monitor vendor response times, service quality, costs, and open actions against established expectations, and escalate performance concerns.
  • Maintain organized project and facilities records to support accurate reporting, reconciliation, and decision-making.

Skills & Experience

  • 2-3 years of experience in project coordination, construction, facilities management, retail development, or a related environment.
  • Exposure to commercial or retail construction projects, facilities operations, or multi-site environments preferred.
  • Working knowledge of project schedules, budgets, documentation, work orders, and vendor coordination.
  • Strong organization, follow-through, communication, and problem-solving skills, with close attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and escalate issues appropriately in a fast-moving environment.
  • Comfort working with cross-functional partners, store teams, contractors, and service vendors.
  • Proficiency with Microsoft Office, Google Workspace, and project management or work-order software.
  • Willingness and ability to travel regularly in support of construction projects and retail locations.

Key Collaboration Points

  • Partner with the Director of Retail Construction on project priorities, risks, budgets, and portfolio planning.
  • Maintain regular project checkpoints with Real Estate, Store Design, Finance, Retail Operations, Visual Merchandising, and external consultants.
  • Coordinate with store leaders and Retail Operations on maintenance priorities, urgent issues, training, and store readiness.
  • Lead recurring vendor and contractor reviews to monitor performance, resolve issues, and drive continuous improvement.

Compensation Range

  • $75K–$85K
