Secretary-Patient Access Rep

Crouse’s Addiction Treatment team at Commonwealth Place provides a comprehensive system of assessment and inpatient treatment services for individuals with substance-use disorders by integrating physical, mental and spiritual healthcare practices for patients and families. The Addiction Treatment team is hiring a Secretary-Patient Access Representative.

Schedule: Every Sunday and Monday, 8:00 am - 4:30 pm, with rotating holidays and other shifts assigned

Pay Range: $19.50 - $30.93 / hour based on verified experience

Secretary-Patient Access Rep Position Responsibilities:

  • Perform a variety of customer service functions that support clinic operations
  • Schedule appointments; contact clients to reschedule appointments or provide appointment reminders, when warranted
  • Perform patient registration duties inclusive of patient identification and EMR documentation of accurate demographic, insurance and check in details with attention given to any patient specific alerts
  • Process mail, faxes, make copies as requested and troubleshoot printer/copiers including requests for needed supplies i.e. toner, paper, etc
  • Accurately interviews patients and/or family members in order to obtain patient demographic, insurance, and financial information in a timely and organized manner.
  • Routinely verifies insurance and Medicaid eligibility with the highest level of accuracy.
  • Collaboratively works with other members of the team to ensure all pre-certification and authorization requirements are completed within the appropriate timeframes.
  • Professionally educates patients and families about New York State insurance programs and answers questions in a timely and courteous fashion.
  • Properly documents and accurately enters patient information into the patient accounts system, AVATAR, OASAS and other systems as required within Addiction Treatment Services.
  • Professionally informs patient of estimated self-pay amounts and collects co-pays/deductibles/deposits in an organized, timely manner and issues receipts.
  • Promptly responds to incoming department communications and messages via email or phone.
  • Efficiently organizes and maintains department files, records, logs, policies and procedures, reports, statistics and other related systems/documents.
  • Provides accurate and efficient administrative/clerical support to department staff which may include: copying, filing, ordering supplies, distributing mail, word processing, creating spreadsheets, records/processes/distributes meeting minutes and other work as requested by the department.
  • Answers telephone and email inquiries in a polite and professional manner; refers all calls to appropriate person, takes and relays detailed messages in a timely manner (when necessary).
  • Greets and welcomes visitors/patients to the department in a courteous manner and assists with providing relevant information and directives.
  • Proactively communicates with department leadership to keep them informed of department activities, and alerts them of problems, when necessary.
  • Actively participates in special department and/or hospital projects, as needed.
  • Assume other duties as assigned by department leadership.

Secretary-Patient Access Rep Requirements:

  • High school diploma or equivalent.
  • Minimum of 1 years experience in healthcare admitting, patient registration, and insurance verification with 1-2 years experience in a fast paced office setting.
  • Must pass a Patient Access test with a score of 75% or higher, administered by Human Resources
