Position Summary
The Assistant Service Manager will play a crucial role in supporting the efficient operation of our service department by overseeing daily activities, coordinating service tasks, and ensuring exceptional customer satisfaction. This role requires a proactive individual with excellent communication, leadership and problem-solving skills who can assist the Service Manager in driving the team to deliver top-notch service experiences.
Roles & Responsibilities:
Team Leadership & Support:
- Assist the Service Manager in supervising and guiding a team of service technicians and advisors.
- Provide coaching, mentoring and performance feedback to team members to enhance their skills and productivity
- Collaborate with the team to address challenges, resolve conflicts and foster a positive work environment
Service Operations Management:
- Support the Service Manager in planning and organizing service schedules, ensuring efficient allocation of resources and timely completion of tasks
- Assist in monitoring daily workflow, ensuring that service appointments, repairs and maintenance are carried out smoothly
- Help maintain accurate records of service activities, including work orders, customer interactions and vehicle maintenance histories
Customer Interaction & Satisfaction:
- Engage with customer to provide exceptional service experiences, addressing inquiries, concerns and feedback in a professional and timely manner
- Assist in managing customer expectations and ensuring that their needs are met or exceeded
Quality Control & Standards:
- Work closely with the Service Manager to uphold high service standards and ensure adherence to company policies, safety regulations and industry best practices
- Collaborate with technicians to ensure repairs and maintenance are performed accurately, efficiently and to the highest quality standards
Inventory & Supplies Management:
- Assist in managing inventory levels of parts and supplies, ensuring availability for service tasks while minimizing waste
- Coordinate with suppliers and vendors to procure necessary items, negotiating favorable terms whenever possible
Reporting & Communication:
- Generate reports on key service metrics, such as service completion rates, customer satisfaction scores and technician performance
- Communicate regularly with the Service Manager, providing updates on department activities, challenges and potential improvements
Qualifications & Skills:
- Strong understanding of automotive systems, maintenance procedures and repair techniques
- Excellent interpersonal and communication skills, both written and verbal
- Proficiency in using computer systems and software applications for scheduling, reporting and communication
- Strong organizational and multitasking abilities with keen attention to detail
- Leadership qualities, including the ability to motivate and inspire team members to achieve targets
- Problem-solving skills and the ability to handle challenging situations with professionalism
- Valid driver's license and a clean driving record
Education & Experience:
- High School Diploma or equivalent
- Associate's Degree or higher in automotive technology or related field, preferred
- Proven experience in an automotive service or repair environment, with at least 2-3 years in a supervisory or leadership role
