Position Overview:
The Education Specialist is responsible for managing education strategy and program development across assigned client organizations, integrating conferences, webinars, publications, and other learning initiatives into a cohesive framework with a focus on interactivity, enhanced learning outcomes, and programming that advances each client's organization mission and strategic priorities. A core function of this role includes end-to-end speaker and abstract management, from solicitation and review through selection, confirmation, and onsite execution, as well as sustained coordination with volunteer leaders and internal management staff to ensure education programming reflects client mission and member needs. This role collaborates cross-functionally with Events, Membership and Programs, and client Account Executives to ensure integrated service delivery, and provides direct mentorship to Education Solutions Coordinator(s). The Education Specialist operates with a high degree of independence, exercises sound professional judgment, and serves as a subject matter resource on education best practices and adult learning principles.
Key Responsibilities:
- Manage education strategy across assigned client organizations, aligning conference programming, webinars, and other educational content into a cohesive and intentional framework that strengthens interactivity, enhances learning outcomes, and advances each client organization's mission and strategic priorities.
- Continuously evaluate programming effectiveness and recommend improvements based on member feedback and industry trends.
- Lead the full abstract and speaker management lifecycle, including the development and management of call-for-abstracts processes, submission platform oversight, reviewer coordination, selection committee support, speaker communications, and session logistics through post-event evaluation and follow-up.
- Serve as a primary liaison to volunteer education committees, task forces, and advisory groups, facilitating productive working relationships, preparing materials for volunteer review and action, and ensuring volunteer-driven priorities are reflected in education programming and content strategy.
- Oversee the onsite speaker ready room and serve as producer for plenary and general sessions as needed. Responsibilities include briefing and preparing keynote speakers ahead of their presentations, reviewing slides and run-of-show details, and coordinating with AV and stage teams to ensure technical readiness. During sessions, functions as the on-floor producer, managing speaker cues, monitoring timing, and serving as the primary liaison between speakers, moderators, and production staff to deliver a polished, professional program.
- Develop and maintain a comprehensive speaker database to house educational content, speaker ratings, presentation materials, and associated expenses, while identifying opportunities for content alignment and cross-pollination with client-partner organizations.
- Lead continuing education accreditation efforts across multiple credentialing bodies, taking full ownership of select provider relationships while coordinating with credentialing committees or vendors for others. Responsibilities include preparing and submitting accreditation applications, ensuring session content and learning objectives meet provider standards, and managing speaker disclosure requirements. Oversees all aspects of attendee credit management, including attendance verification, credit tracking, and post-event reporting, to ensure accurate and timely issuance of credits across applicable types (e.g. CME, CEU) and maintains records sufficient to support accreditor audits.
- Support the creation and ongoing maintenance of on-demand and asynchronous learning products, including monitoring usage trends, learner engagement data, and platform performance, and providing recommendations for content refresh and continuous improvement.
- Coordinate with internal management staff and Account Executives to ensure education initiatives are aligned with broader client strategy, contractual obligations, and operational timelines; proactively communicate project status, risks, and milestone progress.
- Create and maintain project management boards, workflows, and tracking tools to ensure organized, efficient, and timely execution of all education-related initiatives across concurrent client programs.
- Provide mentorship and day-to-day guidance to Education Solutions Coordinator(s), fostering a collaborative, high-performing team environment and supporting professional development.
- Collaborate cross-functionally with Events, Membership and Programs, and client Account Executives to ensure integrated service delivery and consistent communication across all functional areas.
Qualifications:
Education Requirements:
- High school diploma / GED required.
- Bachelor's degree in a related field or equivalent professional experience required.
Experience Requirements:
- At least 7 years of proven experience in progressive experience in meetings, events, or association management
- 5+ years of proven experience working with education (can include direct meeting experience)
- AMC experience preferred but not required.
Knowledge, Skills, & Abilities:
- Strong understanding of adult learning principles, continuing education best practices, and trends in association education delivery.
- Strong project management skills with demonstrated ability to manage multiple concurrent programs, timelines, and stakeholders with competing deadlines.
- Proficiency in Microsoft Office Suite, association management systems, and learning management systems (LMS); hands-on experience with abstract and speaker management platforms (such as Cadmium, Oxford Abstracts, or similar) including submission configuration, reviewer assignment, scoring workflows, and reporting.
- Exceptional written and verbal communication skills, including the ability to draft professional correspondence, committee materials, speaker communications, and program reports independently.
- Strong interpersonal and relationship-building skills, with the ability to work effectively with volunteer leaders, subject matter experts, speakers, and internal teams across all levels.
- Analytical mindset with the ability to interpret program data, learner feedback, and usage metrics to drive continuous improvement.
- High degree of initiative and professional independence, with sound judgment in navigating complex stakeholder dynamics and competing priorities.

- Within the first year, all assigned clients have a documented education plan that is reviewed and updated on an annual basis.
- 95%+ of education projects are tracked through standardized project management workflows, with milestones and deadlines met on time.
- 100% of abstract and speaker management processes are executed in accordance with established platform workflows, with submission, review, and selection cycles completed on schedule.
- 75%+ of session or program participants report meeting stated learning objectives based on post-event evaluation data.
- 100% of keynote and general session speakers are checked in, briefed, and confirmed ready a minimum of 30 minutes prior to session start, with all sessions beginning on schedule.
- On-demand learning products are reviewed at least annually, with usage trends and improvement recommendations documented and submitted to the Account Executive or client.
- All accreditation applications are submitted on time and approved prior to the event, attendee credits are issued accurately within the required post-event window, and records are maintained in a manner that supports accreditor audits without exception.
- All assigned education projects are maintained in Monday.com with documentation current and updated each program cycle; 90% of active projects on-track or green at any given review point.
- Fewer than 15% of assigned projects require significant scope changes after launch.
- Volunteer committee materials, agendas, and follow-up communications delivered on time for 95%+ of scheduled meetings.
- Maintain 90%+ data completeness in the speaker database, including ratings, session materials, and expenses, with clear documentation of cross-client content alignment opportunities.
Physical Demands & Working Environment:
- This is a remote position.
- Percentage of travel (inclusive of Talley and client related obligations) - up to 25%
- This position requires international travel; candidates must possess or be able to obtain a valid U.S. passport and any applicable visas or entry documentation required for designated travel regions.
- This role primarily involves desk-based work using a computer and standard office equipment. Employees must be able to sit or stand (based on preference) for extended periods, type and use a mouse, view a computer screen, and participate in virtual meetings. Occasionally, light lifting of items like laptops or small office supplies (up to 15 pounds) may be required. Employees are expected to maintain a comfortable home office setup and adhere to safety guidelines for physical needs, ensuring an efficient and productive work experience.
- If travel is required, additional physical requirements include navigating airports, public transportation, and meeting locations, lifting luggage or equipment (up to 50 pounds), sitting or standing for extended periods, and adapting to various environments such as conference centers or client sites.
