We are currently seeking a dedicated Assistant Community Manager to join our team at Hawaiian Gardens Apartments, a 264-unit property specializing in affordable housing. The Assistant Community Manager will play a crucial role in overseeing day-to-day operations, ensuring compliance with Section 42 (IRS) and/or Project-Based Section 8 (HUD) regulations, and fostering a positive living environment for our residents. This full-time position offers competitive compensation, benefits, and opportunities for professional growth.
Responsibilities:
Resident Relations:

    Assist with the management of resident communications, including handling inquiries, resolving issues, and providing support as needed.

    Facilitate the move-in and move-out processes, ensuring a smooth transition for residents.

    Coordinate and attend community events to foster a sense of community and enhance resident satisfaction.

    Foster and maintain a positive, professional, and collaborative working environment that supports strong internal teamwork as well as productive, service-focused partnerships with residents to ensure overall property success.

Leasing and Occupancy:

    Oversee the leasing process by conducting property tours, assisting with lease applications, and ensuring all documentation is complete and compliant with local, state, and federal regulations.

    Monitor occupancy levels and assist in implementing marketing and leasing strategies to maintain or increase occupancy rates.

    Partner with Community Manager and corporate to ensure move-in certifications are completed completely, accurately and in a timely manner

Property Maintenance:

    Coordinate with maintenance staff to ensure timely and effective completion of work orders, inspections, and property upkeep.

    Following up on maintenance team to ensure all work orders are completed and in accordance with Fair Housing regulations and ensure that they are inputted into the Real Page app and closed out in a timely manner

    Conduct daily property inspections to ensure the community remains safe, clean, and well-maintained. Report any property findings to the Community Manager and corporate immediately and enter any issues into work orders, so they may be addressed appropriately and added into manager weekly report

Financial Management:

    Manage rent collection and ensure compliance with rent payment policies.

    Manage creating payment agreements for rent and utilities. Oversee resident payment agreements for resident compliance.

    Work with the Community Manager to develop and implement cost-effective strategies for property management.

    Ensure FAS are completed in a timely manner (by 21 days from move out)

    Assist with compilation of vendor proposals for approval submission utilizing the capital ex form over $5k.

    Ensure that all vendors being used at the property are in compliance with Vendor Credentialing.

Compliance and Reporting:

    Ensure compliance with all affordable housing regulations and guidelines, including HUD, LIHTC, and other applicable programs.

    Maintain accurate resident files and property records, including leases, applications, and compliance documentation.

    Ensure final approved certifications are filed within each resident file in real time and maintained in the physical filing cabinets, immediately after post-audit.

    Ensure all resident files are maintained in full compliance with regulatory requirements.

    Conduct resident interviews and process annual recertifications accurately and on time.

    Assist with compiling documentation for reports due to agencies, owners

    Assist with compliance file submissions to Windsor.

    Assist with EIV Property & Resident reporting requirements on a monthly and quarterly basis. Investigate and resolve EIV reporting discrepancies

    Support the file submissions to Windsor including initial and subsequent submissions to Windsor final approval.

Team Support:

    Provide support to the Community Manager and other team members in their roles, taking on additional responsibilities to ensure full property coverage as needed.

    Participate in team meetings and contribute to the development of strategies to improve community operations.

Qualifications and Skills:

    Minimum of 5 years of experience in property management, with a focus on affordable housing strongly preferred.

    Experience with HUD, LIHTC, or other affordable housing programs is a plus.

    Proficiency in a second language, particularly Spanish, is a plus.

    Strong organizational and time management skills.

    Excellent communication and customer service skills.

    Proficiency in property management software and Microsoft Office Suite.

    Ability to work independently and as part of a team.

    Knowledge of local, state, and federal housing regulations

    Successful completion of background and drug screenings.
